Head Start Senior Administrative Assistant

Support the vital work of Head Start by helping ensure smooth, efficient operations that serve children, families, and staff. The Senior Administrative Assistant plays a key role in maintaining organized office functions, coordinating program activities, and supporting compliance with local, state, and federal requirements.

In this role, you will coordinate onboarding processes, support hiring logistics, and manage documentation related to licensing, background checks, and HR processes. You’ll maintain complex records and data systems, assist with reporting requirements, and support compliance with Head Start Program Performance Standards. Responsibilities also include scheduling meetings and events, preparing program materials and reports, managing purchasing and invoices, and coordinating facility use and maintenance. You will serve as a central point of communication, supporting staff, families, and community partners while helping ensure the program operates efficiently and effectively.

We’re looking for a professional with strong customer service and interpersonal skills who can communicate clearly and maintain positive relationships with diverse stakeholders. The ideal candidate demonstrates strong organizational and administrative abilities, proficiency with computer systems and data management tools, and the ability to manage multiple priorities in a dynamic environment. A high level of professionalism, discretion, and commitment to confidentiality is essential, along with a positive approach to supporting early childhood, health, and social service programs.

Minimum Qualifications
Education:
Level I: Associate’s degree or Applied Associate's degree or certification from a two-year college or professional/technical school or program; or equivalent combination of education and experience.

Level II: Bachelor's degree in Business Administration, Communication/ Marketing, Public Administration or a related field

Experience:
A minimum of two years’ experience in an office setting. Two years’ experience can be substituted with a higher degree.

Required License and/or Certifications:
• Meet all training and certification requirements for childcare licensing and Head Start Program Performance Standards.
• Pass an enhanced background check including fingerprinting, as required by Head Start Program Performance Standards and Child Care Licensing requirements, prior to first day of work.

Knowledge, Skills, and Abilities:
• Excellent customer service and interpersonal skills
• Positive approach to Early Childhood Development programs, health, and social services.
• Demonstrated written, oral, and organizational skills.
• Advanced knowledge of commonly used computer software programs including data collection systems
• Demonstrate professional ethics and confidentiality.
• Represent the Head Start program professionally, both externally and internally.

Starting pay range: $18.42 - $20.03

Work Site Location: Head Start - Coeur d'Alene
Work Schedule: 88% Full-time (July - June)
