Key Responsibilities
- Provide exceptional customer service, offering relevant information, directions, resource materials, and other assistance as needed in a respectful, courteous, and professional manner.
- Set up meeting/event rooms according to the daily operations setup worksheet and/or as directed by supervisor/ Operations Managers.
- Ensure that rooms are clean, open, properly equipped at least 15 minutes prior to start time and rooms are secured no more than 15 minutes after meetings end.
- Check out/return Operations Staff radio and keys to/from key box.
- Monitors radio communications and uses radio to relay customer requests and communicate to students or other Operations Staff members and Supervisors.
- Monitor activity throughout the building and surrounding areas; enforce building/University guidelines (no smoking; shoes & shirts; no animals, face coverings, etc.) as needed. Report problems to appropriate staff person and/or Operations Staff as needed.
- Assist with special tasks such as equipment inventory, furniture moving, delivery load in/out, etc. as assigned.
- Locking and unlocking the external doors to the building and the event rooms.
- Setting up and tearing down rooms for events.
- Leading and training the team of student bussers in our department.
- Ensuring the cleanliness of the building and guest areas.
- Handling unforeseen customer needs, like changes in setup and equipment.
- Adding or removing equipment and services to an event by coordinating catering, production staff and operations teams.
- Setting up Operations events outside the BSC, like the homecoming parade booth, speeches, and press conferences.
- Maintaining and changing the temperature of the building using Insight software.
- Maintaining neat and organized storage areas to house our equipment.
- Finding and removing broken and dirty equipment from our stock.
- Communicating changes in guest needs to supervisors in the Operations and Events and Scheduling departments.
- Handling random requests and tasks on the behalf of supervisors when they are not present .
- Accommodating the requests of other departments in the BSC to help them complete their tasks.
- Answering questions about the building, events and problems that no one else is able to.
- Contacting repair, maintenance, and grounds workers in times of need.
- Contacting the ISU police, Normal police, or the Normal fire department when needed.
- Report to emergency and rescue workers upon their arrival to report on the status of the building and guests.
- Continually improve operations processes by working with supervisors by giving your input.
