About the Role

The Assets, Grants and Lending branch of Enabling Services is looking for an Executive Support Officer to join the team.

As the Executive Assistant, you will play a pivotal role in enabling the Executive Director to lead effectively by providing confidential, high-level executive support and ensuring smooth day-to-day operations. This role is central to ensuring efficiency, organisation, and effective stakeholder engagement across the division.

In this role, you will:

  • Provide high-level executive support, including preparing quality correspondence, reports, and presentations.
  • Manage complex schedules, prioritise urgent matters, and ensure smooth day-to-day operations.
  • Coordinate travel, meetings, financial tasks, and records management.
  • Act as a professional liaison for stakeholders, handling sensitive enquiries with discretion.
  • Support cross-divisional projects and implement efficient administrative systems.
  • Deliver secretariat support for key meetings, including minute-taking and action tracking.

About You

You are a seasoned Executive Assistant with a proven track record of supporting senior leaders in complex organisations. You are proactive, adaptable, and thrive under pressure. Your communication and interpersonal skills enable you to build effective relationships and maintain confidentiality with professionalism.

Essential Skills and Experience:

  • Demonstrated experience in a high-level executive support role
  • Outstanding organisational and time management skills
  • Excellent written and verbal communication
  • High level of discretion and judgement
  • Strong stakeholder engagement and problem-solving abilities
  • Advanced MS Office skills and a tech-savvy approach to systems and workflows

To be considered for an ongoing appointment applicants must be ongoing at either an equivalent or higher grade than this advertised vacancy (Clerk Grade 5/6) OR on a current and valid talent pool at this grade or higher. Alternatively, if you do not meet the requirement for an ongoing appointment, you may only be considered for a temporary appointment of up to 12 months.
