About the Role

The Agriculture and Biosecurity Group plays a vital role in shaping the future of agriculture and protecting NSW’s biosecurity. Comprising five key divisions - Agriculture, Biosecurity and Food Safety, Climate and Natural Resources, Research Assurance, and Strategy and Regulatory Policy - the group supports resilient, innovative, and sustainable industries across the state.

As the Executive Assistant to the Executive Director Agriculture, you will provide high-level executive, secretarial, and administrative support to a Senior Executive within the Agriculture and Biosecurity Group. This role requires a proactive, highly organised professional who can confidently manage competing priorities and confidential information across a fast-paced and complex environment.

Your key responsibilities will include:

  • Acting as the first point of contact for the Senior Executive, assessing and prioritising requests while exercising sound judgment and maintaining strict confidentiality.
  • Managing the Executive’s calendar, correspondence, travel arrangements, and meetings to ensure efficient day-to-day operations.
  • Preparing and coordinating high-level communication such as briefing notes, submissions, and reports.
  • Researching and collating information to support informed decision-making on complex operational and policy matters.
  • Monitoring and improving administrative systems and processes to support operational effectiveness.
  • Providing guidance to clerical staff and coordinating seamless secretariat support for committees, working groups, and key meetings.
  • Processing routine financial transactions and purchasing in accordance with agency guidelines.

About You

You are a detail-oriented, highly professional Executive Assistant who thrives in a fast-paced environment. You bring a strong sense of initiative, sound judgement, and excellent organisational skills to everything you do.

To succeed in this role, you will have:

  • Demonstrated experience supporting senior executives with a focus on confidentiality, prioritisation, and time management.
  • Excellent written and verbal communication skills, with the ability to prepare, review, and coordinate high-quality documentation.
  • Strong stakeholder engagement and interpersonal skills, with the ability to build effective working relationships across all levels.
  • High-level proficiency in managing calendars, travel arrangements, records, and complex meeting coordination.
  • A proactive and solutions-focused mindset, always looking for ways to improve systems and administrative processes.
  • Confidence in managing financial processes and purchasing functions in line with established procedures.
  • A collaborative approach, with the ability to provide leadership and support to administrative teams when required.

To be considered for an ongoing appointment applicants must be ongoing at either an equivalent or higher grade than this advertised vacancy (Clerk Grade 7/8) OR on a current and valid talent pool at this grade or higher. Alternatively, if you do not meet the requirement for an ongoing appointment, you may only be considered for a temporary appointment of up to 12 months.
