Job Summary:

The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is seeking to hire an Administrative Secretary II who is detailed, organized and thorough. This position is responsible for daily communications, meetings, filing, organizing, handling the unit’s budget, report writing, and timekeeping at the Arizona State Prison Complex – Lewis

Job Duties:

- Performs general administrative functions for the unit manager
- Screens calls, compose correspondences, and answers routine questions
- Schedules appointments and meetings/conferences
- Organizes and maintains confidential and administrative files
- Assists unit administration in tracking and maintaining the budget
- Acts as primary timekeeper and the policy liaison
- Generates, copies, files, and distributes various reports
- Orders and maintains office supplies
- Serves as backup for clerical support staff in their absence
- Drives on State business
- Performs other duties appropriate to the assignment

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
- General office practices and procedures
- Personal computers, using Microsoft Suite and Google Suite
- Business English and basic mathematics
- Payroll practices and procedures

Skill in:
- Composing routine correspondence, including proper format, spelling, and language usage
- Verbal and written communication
- Providing highly detail-oriented results
- Record keeping and report generation
- Time and project management
- Scheduling and coordinating arrangements for meetings
- Establishing and maintaining interpersonal relationships
- Taking and transcribing meeting minutes

- Maintain files of correspondence, records, and reports
- Maintain confidentiality

Selective Preference(s):

Two (2) years of professional office experience and proficient in Microsoft Office and Google Suite

Pre-Employment Requirements:

Employment is contingent on the selected applicant passing a background investigation and drug test.

If this position requires driving or the use of a vehicle as an essential function of the job, then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).

In an effort to maintain a safe environment, all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter.

Retirement:

Positions in this classification participate in the Arizona State Retirement System (ASRS).

Enrollment eligibility will become effective after 27 weeks of employment.
