Job Summary:

Responsible for analyzing and processing vendor invoices for payment, confirm contracted items are legitimate. Review payments for accuracy timeliness and entry for the payment process. Contact users explaining corrections or additional work to be done in order to process payments. Job shadow and cross-train in all areas of Accounts Payable, participating in special projects requiring accounting knowledge.

This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Job Duties:

Responsible for reviewing, recording, and reconciling vendor invoices using the State's automated accounting system. Reviewing past due statements, requesting additional information from vendors or customers to process payments, and keeping accounts current.

Responsible for analysis of financial information and preparation of financial reports to determine and maintain liabilities, tax liability and other accounts payable vendor reconciliations reporting and analysis. Lead improvement projects for accounts payable. Analyze and report on prompt pay discounts.

Contacts users explaining corrections or additional work to be done to process payments.

Analyze purchase orders to determine if contracted items are being purchased off contract and notify procurement of any issues.

Resolve questions and problems presented by internal and external customers, recognize public and constituent issues, and identify actions to address, including the involvement of other appropriate ADOT groups and functions. Process invoices in the correct fiscal year, including verifying coding for invoices paid with carryover funds and processing administrative adjustments.

Knowledge, Skills & Abilities (KSAs):

Knowledge:
* Automated accounting system to process vendor payments.
* Accounting and math to ensure accuracy of payment coding.
* Microsoft applications and general databases to prepare spreadsheets, correspondence to internal and external customers.
* Working knowledge of Microsoft Office and Google Suites.
* Experience in process improvement activities.

Skill:
* Analytical skills:
    - to interpret financial data.
    - to research and correct errors.
    - critical thinking.
* Computer skills (including intermediate spreadsheet and database skills).
* Oral and written communication skills:
    - to effectively communicate with other units/departments.

* Organization/time management to make sure job responsibilities are completed in a timely manner to handle any unexpected workload effectively.

    - to professionally communicate with others at various levels regarding vendor payments.
* Process large volumes of invoices.

Selective Preference(s):

One year government accounting.

Pre-Employment Requirements:

This position requires driving or the use of a vehicle as an essential function of the job and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
