INFORMATION, EDUCATION, AND RECREATION DIVISION / HQ / PHOENIX, AZ BASED
FLSA- EXEMPT / SALARY GRADE 21 (Hiring range $50,000 - $65,000)

The Information, Education, and Recreation Division (IERD) is seeking to fill the IERD Administrative Coordinator position to manage the Division’s administrative support program. This position will be responsible for coordinating the Division’s administrative team by developing standard work processes that will create an efficient, holistic approach to administrative support for the Assistant Director, Division Chiefs, and programs.

Job Duties:

Major responsibilities will include:

- Supervises administrative staff for the Division: establishes criteria for work and performance; evaluates, coaches, and counsels employees to encourage exceptional performance and improvement

- Establishes standard work including procedures, practices, and work methods to increase Division effectiveness and efficiency; coordinates work by providing central authority, disseminating information, and determining assignment/responsibility

- Develops and oversees work unit databases and other record management activities including: Department letters, complex statistical reports, public presentation/ information materials, meeting minutes and other routine correspondence

- Consults with appropriate personnel regarding program goals, objectives, accountability and delivery of services and develops effective monitoring and evaluation procedures for new and ongoing programs to assure program conformance and integrity

- Assists in coordinating Division’s budget information; oversees quality control of database or spreadsheet information; conducts expenditure/ revenue review; oversees and/or prepares routine budget reports/ information; performs program/ accounting audit research

- Serves as Division resource on activities and clerical procedures; supports the Assistant Director, managers, and staff in coordinating and completing administrative work processes and resolving intradepartmental operational problems

- Coordinates with division staff and other department personnel in accounting, purchasing, building maintenance/repair, telephone services, and acts as Fleet Lead for the Division.

- Functions as CARB Secretary - coordinates all activities for Commission Appointment Recommendation Board; works closely with the Governor’s office personnel on deadlines and recruitment efforts.

Knowledge, Skills & Abilities (KSAs):

The candidate must have knowledge of/in: Department regulations, procedures and policies, principles and practices of department and/or state administration and management, office practices and operating procedures, customer service, budget reporting and systems, procurement and purchasing processes and systems.

Candidates must possess effective supervisory skills, strong organizational and interpersonal skills, personnel and office management, proficiency in project management software tools, operating systems to include Google Suite, Microsoft and Adobe, strong verbal skills and oral and visual communications at technical and popular levels.

The candidate must be able to: manage personnel and provide support to multiple work units and Division; identify and analyze organizational and/or procedural challenges and determine effective solutions; strategically plan and prioritize; organize, track and report out on budget; manage multiple projects and priorities; adapt to changing priorities; and work effectively with executive leadership.

Selective Preference(s):

The preferred candidate will have three years of administrative/office management experience, preferably in a supervisory capacity, and demonstrate strong organizational, interpersonal and team building skills. The ideal candidate will have specific knowledge in Department policy, regulations, rules and processes including budget, procurement, purchasing, accounting and operating systems.
