The Office Administrator will ensure smooth and efficient office operations by managing administrative tasks and providing support to management.
Duties will include interacting on behalf of the Department of Real Estate with other agencies to meet state requirements on administrative tasks including working with the General Accounting Office, Department of Administration, State Procurement Office, Department of Administration Human Resources Shared Services, Department of Administration Central Services Bureau, the State Treasure Department and Governor's office as necessary.
• Coordinate credit card reporting, and process invoices, tuition reimbursement, travel claim forms, spot incentives, payroll adjustments and deposits through Central Service Bureau
• Work with ADOA systems, including the new AZ360 platform to assist with HR form processing, process orders through APP in compliance with state compliance guidelines, assist with asset tag audit, GAO Internal Control Self Assessment and Procurement Compliance Review
• Manage security badges, request for services from Lincoln Property Company, manage postage, mail delivery and distribution, sale of lawbooks, assist with organizing meetings, order uniform shirts as necessary, order and manage office supplies, manager organization chart
• Complete quarterly newsletter, assist with social media accounts and 5S record retention system, manage surplus and assist with lawbook updates

• Assist with submissions and data collection for the Governor's office
• Other duties as assigned as related to the position
Knowledge, Skills & Abilities (KSAs): |
Knowledge:
• Methods and principles of numbers, their operations and interrelationships including basic arithmetic, algebra, statistics and business mathematics
• Accounting practices and the analysis and reporting of financial data
• Principles, theories and processes of governmental contracting
• Methods of computer operation including software
Skills:
• Establish and maintain working relationships with contracted and governmental agency representatives and special interest groups
• Evaluate and analyze programmatic and fiscal data
• Maintain complex record keeping systems
• Communicate verbally and in writing

• Preference will be given to candidates with governmental experience in procurement
Pre-Employment Requirements: |
• Employees who drive on state business are subject to driver license record checks, required to maintain acceptable driving records and complete any required driver training (see Arizona Administrative Code R2-10-207.11)
• Requires possession of and ability to retain a current, valid state-issued driver license appropriate to the assignment
