The Accounting Specialist 2 will be responsible for work of medium difficulty providing support to customers related to agency payments. The Invoicing team processes and activities include, but are not limited to, reviewing/submitting invoice payments in our Arizona Procurement Portal (APP) as well as Arizona Financial System: AZ360, creating encumbrance documents and transfers within AZ360, vendor account management and research. This position is within the Invoicing team and will collaborate with the Purchasing team to direct and participate in invoice payments. This position is responsible for ensuring that the quality of the work products is acceptable and accurate; and ensuring that deadlines are met.
This position is available for remote work on a full-time basis within Arizona (including virtual office arrangements) with occasional mandatory office meetings.

• Prepare/process: invoice payments, contract payments, AZ360 encumbrances and transfers, supplier management and other activities related to these tasks and their metrics.
• Apply and exercise accounting principles and practices within governmental accounting which includes pre-encumbrance and encumbrance accounting.
• Verify/analyze/correct financial invoices/bills.
• Analyze payment trends, troubleshooting system issues, produce reports, process cancellation of warrants.
• Ensure that the quality of the work products is acceptable and accurate.
• Deadlines are met and standard of work is followed.
• Assist in the planning, organizing and performance of payments by researching correct billing and compliance with state and federal policies, procedures and guidelines.
• Utilize Arizona Procurement Portal (APP), AZ360 and three-way matching for oversight and entry of all payments and transfers, which includes determining appropriate funding codes.
• Assist in coordinating and collaborating with the whole of Accounts Payable and the Business & Finance team to direct and participate in a variety of administrative purposes related to payments. This includes having knowledge of and executing jobs related to payments for invoices, encumbrances, assets, expense transfers and receivables.
• Facilitate and assist Suppliers to update their profiles.
• Attend meetings to coordinate the programs activities with other offices within the Agency.
• Successfully initiate and maintain relations with employees, suppliers and the public.
Knowledge, Skills & Abilities (KSAs): |
• Knowledge of principles, methods, and practices of fiscal and financial record keeping, including automated accounts payable/receivable and payroll systems.
• Knowledge to Research, analyze, compile, and effectively report on complex financial data.
• Knowledge of Arizona Financial Sytem:AZ360 for all financial transactions.
• Understand, interpret and apply the fundamental principles of accounting and general fiscal and financial record keeping practices in the performance of assigned tasks
• Effective Employee performance management, prioritization of team activities, workload management, and critical thinking.
• Excellent Verbal and Written communication skills (staff, senior management, and the public)
• Knowledge of application of purchasing and accounting methods and techniques.
• Excellent organization skills for tracking projects and generating reports.
• Ability in creating and collecting metrics to measure team performance and continuous improvement.
• Ability in analysis, interpretation, and communication of financial data.
• Ability to interpret policies & guidance related to State and Federal laws and rules.
• One-year of accounting experience in purchasing, accounting, data processing, or related accounting activities.
• Proficient in Arizona Procurement Portal for oversight and entry of invoices in assigned area related to payments.
• High School Diploma or GED.
