Job Summary:

The Arizona Department of Agriculture is recruiting for a detailed orientated and dependable Administrative Services Officer 1 for our Animal Services Division. The position is located in downtown Phoenix around the Capital Mall and requires the employee to work in the office.

The Administrative Services Officer I works under the direction of the Administrative Services Officer II Manager for the Animal Services Division. The position will be responsible for directing and participating in the day to day operations of the Livestock Self-Inspection Program. Will be responsible for the supervision of administrative staff and dispatch. This position will work closely with Self Inspection Administrative Team, Dispatch, Livestock Officers, Livestock Inspectors, the State Veterinarian's Office, Meat and Poultry Inspection Program and the Egg Program.

 

Job Duties:

Duties to include but not limited to:

• Directs and participates in a variety of administrative and business management functions involving the making of administrative decisions; maintains fiscal control.
• Consults with unit supervisors on administrative problems and procedures and assists in developing and instituting improvements. Develop and maintain SOPs with appropriate metrics and handles escalated customer call.
• Responsible for the tracking, reviewing, preparing and submitting deposits, checks, claims and invoices received by Animal Health and Welfare Program (AHWP), Meat & Poultry Inspection Program (MPI) and State Veterinarian's Office (SVO) submitted by industry.
• Responsible for annual appraisals, ETE, disciplinary process, approval/denial of requested leave.
• Other duties as assigned.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
In-depth knowledge of the principles and practices of office administration, management and department operating procedures; accounting principals; excellent knowledge of the principles and practices of providing good customer service.
Thorough knowledge of composition and editorial skills.
Excellent knowledge of relationships and interactions of the ASD program to the Department and other state and federal agencies and private entities.
Thorough knowledge of departmental regulatory programs and federal mandates.

Skill in:
Effective written and oral professional and interpersonal communication.
Developing and maintaining professional and interpersonal relationships with management and leadership of the agency
Use of analytical reasoning principles.
Efficient use of MS Windows, Office software, Excel, Google Suites, AFIS, and the ADA budget Tracking System.
Organizational skills.

Ability to:
Use independent judgment, initiative and discretion in making decisions for staff direction in absence of ASD Associate Director.
Plan, prioritize and coordinate multiple projects in unison and to change priorities at a moments notice.
Work independently, set priorities, and manage multiple tasks within a dynamic work environment.
Ability to anticipate, decide and resolve potential problems.
Ability to work in a team environment.

Selective Preference(s):

Two years responsible administrative experience equivalent to or above the Administrative Assistant III level in such fields as personnel, budget analysis, purchasing, accounting, data processing or related administrative services work; a degree in business or public administration from an accredited college or university may substitute for one year of the required experience.

Retirement:

Positions in this classification participate in the Arizona State Retirement System (ASRS). Mandatory condition of Employment for all employees who meet the eligibility and membership criteria defined in statue. Current contribution rate is 12.27%. Enrollment eligibility will become effective after 27 weeks of employment.
