The Department of Economic Security, Division of Employment and Rehabilitation Services (DERS) strengthens Arizona communities by bridging and minimizing gaps to employment and independence.

DES is seeking an experienced and highly motivated individual to join our team as an Executive Assistant with the Workforce Development Administration (WDA). This position is responsible for providing high-level administrative support to the Administration and Division including the monitoring of administrative actions. The position represents the Administrator and participates in meetings and special projects with other Division leadership and their representatives concerning fiscal control, personnel issues, resource management, and coordination of State and Federal programs.

Travel will be required for State business. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on State business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on State business shall maintain the statutorily required liability insurance (see Arizona Administrative Code [A.A.C.] R2-10-207.11).

Job Duties:

Essential Duties and Responsibilities include but are not limited to: 

• Provides administrative assistance to the Administrator to include calendaring, room reservations, travel requests and reimbursement, and document creation and maintenance. Research information, attends meetings, takes notes to relay as necessary.
• Ensures Administrator is prepared for all meetings, handles confidential issues. Draft, review, and approve correspondence; coordinates timely submission of reports, plans, and grants and recurring assignments. Assists in coordinating responses to Correspondence Control Actions, client complaints/inquiries making sure responses meet timeliness.
• On behalf of the Administrator has the authority to consult with/guide program staff regarding goals, objectives, accountability, and delivery of services. Authority to assign projects, work assignments, and monitor completion of assignments to the Administrator. Coordinates paperwork for Administrator’s final review, approval and signature of various types of confidential and high-level actions. Reviewing administrative decisions issued by Hearing Officers; taking actions specified in the decision.
• Assists with project plan developments, standardizes central file structure for master documents, tracks follow-up/due date status, and obtains project updates.
• Lends technical guidance and administrative expertise that includes but not limited to designing, implementing, and evaluating organizational objectives for the Program. Gathers statistical data to formulate and prepare a variety of technical and administrative reports and presentation materials representing the goals and achievements of the Program.

Knowledge, Skills & Abilities (KSAs):

• Knowledge of human service administration and management techniques.
• Knowledge and understanding of the Administration, Division, and Department.
• Knowledge and ability to negotiate and problem solve.
• Knowledge of data and technical reports.
• High comprehensive level of computer skills including Microsoft Office and Google Suite.
• Skill in organizing and assisting and administrator in their day-to-day operations.
• Skills in reading, writing, and proofing documents (i.e. alerts, grants, plans, brochures, etc.).
• Skill in project management.
• Ability to establish and maintain effective working relationships with staff and members of the community, private sector and other governmental entities.
• Ability to multi-task, handle changing priorities and set priorities.
• Ability to effectively compose, proof and edit various types of correspondence reports and grants.

Retirement:

State employees are required to participate in the Arizona State Retirement System (ASRS), the State sponsored retirement contribution plan and the Long-Term Disability (LTD) program after a 27-week waiting period. The ASRS defined benefit plan provides for life-long income upon retirement. You will also have the option to participate in a voluntary deferred compensation program to take advantage of tax-deferred retirement investments.
