This position is eligible to participate in the ASE Stipend Pay Program, employees can earn up to $4800 a year with qualifying certifications.  We will reimburse 100% of the cost of passed tests! 

Work Hours: Monday through Friday 7:00am – 3:30pm 

Anticipated hiring salary is $58,079 with a potential to earn up to $62,879 when ASE Customer Service Representative Certified status is obtained. 

Job Summary:

This position is responsible for processing, maintaining and monitoring all vehicle/equipment damage repair progress of the ADOT and Enterprise Agency Fleet Risk Management Program and claim reimbursements. Maintains and monitors the statewide standardized Risk Management policy/program to ensure that all vehicle/equipment damage and glass repair requirements are performed for over 10,000 vehicles and equipment, through 23 Equipment Services (EQS) shops and administrative locations statewide. This also includes coordination with ADOT and ADOA Risk Management. Some travel will be required.

Job Duties:

Monitor statewide accident repair progress and ADOT Risk claim reimbursements, coordinate repairs with commercial vendors, enter risk claims data into the Fleet Focus Management System and maintain risk claim files for historical reference. Tracks operational metrics for the ADOT Risk Management Program.

Provide oversight for the risk management of outside agency Intergovernmental Service Agreements (ISA's) vehicle/equipment. Provide timely initiation/processing of accident/damage and glass repairs; track status of statewide vehicle/equipment claims processed through ADOA Risk Management.

Establish highly effective communication channels with internal and external customers, conveying equipment accident policies/procedures requirements to agency customers. Perform analysis of equipment accident data to ensure compliance and complete daily/weekly procedural risk checklists to ensure accuracy of reports/data.

Participate in and provide accident/damage data for ADOT’s and Enterprise Fleet Vehicle Incident Analysis Team(VIAT).

Operate vehicles and/or equipment requiring a driver’s license.

Knowledge, Skills & Abilities (KSAs):

Knowledge:
- Risk program management to effectively and efficiently coordinate multiple claims among Equipment Services repair facilities statewide.
- General office procedures in the effective dissemination of information.
- Multiple computer software systems and programs to generate reports using Fleet Focus, MS Office, Google and other related Fleet Management related programs.
- Research techniques and analytical tools.
- Automotive technology to determine repair feasibility, and to accurately estimate repair expenses.
- State Statutes, ADOA and ADOT policies and procedures, that govern Risk Management.
- Federal Codes of Regulations in the areas of Occupational Safety and Transportation.

Skill:
Effective written and oral communication.
- Organizational skills to facilitate managing all aspects of Risk Management.
- Conflict and issue resolution.
- Utilizing a variety of computer systems including office management and fleet management reporting software as well as Microsoft Office and Google Workspace.
- Negotiating complex accident claim settlements.

- Coordinate multiple projects and effectively communicate results to others.

Selective Preference(s):

Preferred candidate will have 2 years of experience in a wide variety of vehicle maintenance and fleet management operations to include Risk Management, fleet management functions, workload control and data collection, and maintenance systems operations.

This position requires driving or the use of a vehicle as an essential function of the job, and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
