Job Summary:

This position is responsible for duties related to incoming and outgoing mail and packages within the Industrial Commission Building, other agencies, and outside organizations. Interacts with customers to provide information in response to inquiries about products and services and to handle and resolve complaints.

Job Duties:

Responsible for processing incoming and outgoing mail; receiving and processing requests for various forms and booklets; operates postage/mail equipment, United Parcel Services,FedEx (Ship Manager )processing and Neo-Track System (computerized and manual); receiving and processing maintenance and service calls;

Responsible for maintains various logs and files; answers and directs phone calls. Process Express Mail (UPS), and certified mail, prepare mail for Tucson Shuttle for delivery; responsible for completing special deliveries and assignments; significant interaction with customers. Deliver mail internally, and externally using state vehicles.

Responsible for prioritizing workload of the immediate mail unit, sort incoming mail for distribution and dispatches outgoing mail. Responsible for computing basic mathematical calculations in operating and maintaining postal machines. Responsible for monitoring basic office/personal record keeping.

Knowledge, Skills & Abilities (KSAs):

KNOWLEDGE:
Knowledge sufficient to oversee and participate in the collection, sorting, preparation and delivery of mail.
Knowledge of Postal Regulations, correct meters, registering and certifying of mail. Knowledge of mail services sufficient to determine the most cost effective method. Knowledge sufficient to assume responsibility for correct metering, registering and certifying of mail.
Knowledge sufficient to oversee and participate in maintaining routine office records and reports. Skill in prioritizing workload of the mail unit.

SKILLS:
Skill in basic mathematical calculations. Skills in operating and maintaining postal machines.
Skills in monitoring basic office recording keeping.
Skill in planning work flows and schedule work.
Skill in working well with others without losing sight of the task.
Must have good organizational skills and keep all work areas clean, organized and free of unnecessary debris.
Skill in handling difficult situations and deal with constant interruptions without losing focus.
Skill in being flexible and using appropriate discretion when dealing with customers and coworkers.

ABILITIES:
Ability to follow written and verbal directions; and maintain basic written records.
Ability to work well and closely with others.
Ability to operate and maintain postal machines.
Ability to be discrete and flexible when working with customers and coworkers.
Must have the ability to lift 25-50 pounds

Selective Preference(s):

A minimum of one year experience working in a mailroom and or post office is preferred.
