Job Summary:

Under the direction of the Human Resources Assistant Chief, the HR Analyst is responsible for work of considerable difficulty serving as the HR Analyst to an administrator with broad scope and complexity. The HR Analyst has responsibilities requiring a high level of
confidentiality including handling sensitive information, disciplinary actions and other privileged communications. The HR Analyst must be able to prioritize communication and compose response memos and letters. This position serves an integral function to the Agency by providing support to the agency recruitment team and the ASH Human Resources Office. This role requires maintaining a high level of confidentiality; providing assistance with ASH recruitment efforts; timely and accurately tracking and processing of selected candidate packets; preparing packets for NEO; communicating with ASH programs and central HR office staff as needed, and providing coverage to include serving as the point of contact for the ASH HR office. Screening calls and visitors.

 

Job Duties:

Providing administrative support for the agency ASH recruitment team by scheduling interviews, receiving and conducting reference verifications for selected candidates for hire, including file review for internal State candidates; timely processing and tracking of all hiring packets to ensure accuracy and completeness and forwarding packets for final processing.

Preparation of documents for HR, hospital staff and new employees; communicating with pending hires of upcoming orientation; processing/forwarding new employee paperwork to the downtown office for data entry.

Providing administrative and office support including answering phone calls, assisting internal and external walk-in customers, word processing, filing, and faxing, maintaining and creating NEO packets, and maintaining updated and accurate forms used in/by HR.

Assisting with annual exclusion auditing. Assist with compliance work projects.

Other duties as assigned as related to the position (typically 5% - 10%)

Knowledge, Skills & Abilities (KSAs):

Federal and State human resources related employment laws. HR records and document
management. Office procedures, equipment, basic mathematics concepts, filing procedures and practices, Capabilities of the Human Resources Information System (HRIS) and Talent Acquisition system (TA). Knowledge of Performance Management {PM), and Continuous Quality Improvement (CQI) and Lean methodologies.

Prioritizing and accurately completing tasks. Computer operation. Data entry. Interpersonal personal skills; phone etiquette. Customer service. Clearly and concisely present information, respond to questions appropriately, and engage in critical thinking to resolve problems. Utilizing HRIS, Talent Acquisition, and Microsoft programs including Word and Excel, and Gmail.

Maintain confidentiality. Deal diplomatically and interact professionally with a variety of individuals. Communicate effectively both verbally and in writing. Perform multiple, varying tasks often involving time sensitive matters. Recognize errors, omissions, discrepancies and make corrections and create resolutions. Accurately enter data into multiple data bases. Quickly learn Arizona
State Personnel Rules and Agency policies and procedures. Selective Preference(s):

Bachelor’s Degree in Human Resources or closely related field. Relevant HR Certification preferred.

Pre-Employment Requirements:

A State Hospital employee must be able to obtain a valid Level One Fingerprint Clearance Card pursuant to A.R.S. § 41-1758.07. Valid AZ State Driver's License.

Retirement:

To help you build a financially secure future, the State makes monthly contributions to finance your retirement benefit. The State will make a contribution to the ASRS in an amount equal to your contribution. In other words, you and the State will each pay 50% of the total cost of the benefit. New State employees have a 27 week wait period for contributions to begin.
