This position will help accommodate the separation of duties in accounts payable, accounts receivable, purchasing, cash handling and payroll.
The Accounting Assistant will be expected to have at least two years of current QuickBooks Online, and accounting experience.
These duties will include but not limited to: mail distribution, answer phones and customer service.
The Accounting Assistant will cover the front office position for breaks and absences.
The Accounting Assistant will address fiscal transactions related to the Agency.
• Review and reconcile billing / invoicing records and accounts. Be involved in the cash handling process including bank runs
• Handle full cycle of accounts payable/accounts receivable activities including auditing and verifying accuracy
• Payroll review and entry. Duties are carried out in the State Human Resources Information System (HRIS)
• All duties are working in QuickBooks Online and the State Financial Information System (AFIS)
• Cover front office for breaks and absences - Answer phones, mail distribution, cash handling
• Perform general administrative duties including filing, record retention, and IT support
• Backup to purchasing for Agency
• Other duties related to the position
Knowledge, Skills & Abilities (KSAs): |
Knowledge:
• It is essential the right person have excellent communication skills, both verbal and written and reporting; research and investigation
• Knowledge in governmental accounting practices and procedures, basic principles of accounting
• Basic knowledge of supply needs regarding long term care and over the counter medications
• Basic knowledge of IT equipment, fax machines, telephones, copiers, and computers
• Computer programs (Excel, Word, Google docs and QuickBooks Online)
• Accuracy and attention to detail
Skills:
• Spreadsheets and QuickBooks Online, math skills for cash handling and accounting tasks
• Flexibility during year end and staffing shortages
• Integrity and confidentiality
Ability:
• Reconcile records and compute numerical data; evaluate and resolve discrepancies; establish and maintain work relationships
• Follow instructions/directions both written and verbal and work in a team
• The ability to read, write and speak the English language
• Ability to multitask
• Two current years of general office experience involving computer usage (including knowledge of Excel, Word, Google Docs)
• Two years current experience in accounts payable/receivable experience
• At least one year of accounting courses with passing grades
Pre-Employment Requirements: |
• Obtain a Class 1 Fingerprint Card
• Follow D.H.S. TB protocol
• Valid Drivers License
