The Arizona Attorney General’s Office Civil Litigation Division/Tobacco Enforcement Unit is seeking an Administrative Assistant II to provide administrative support for Unit Chief Counsel and Assistant Attorney General positions in the Tobacco Enforcement Unit.
Remote Options: This position may be eligible for Remote Work two days a week.
This position will independently prepare a variety of correspondence, spreadsheets and mailings. Answers inquiries from the attorneys, court personnel and others regarding case activity and status. Schedules appointments and arranges travel. Handles mass mailings, copying, faxing and scanning. Creates and maintains a considerable amount of files and binders. Position may transcribe dictated letters. Receives and screens a variety of correspondence, visitors, and telephone calls.
This position handles and assists with various and numerous special projects and will require proficient knowledge of MS Word, Excel and Power Point.
Position also provides back-up assistance, as needed, for other legal secretaries and paralegals in the section.
Knowledge, Skills & Abilities (KSAs): |
*Knowledge and understanding of principles and practices of performing administrative functions of a responsible nature.
*Must demonstrate a proficiency in computer skills including but not limited to MS Word, Excel, Power Point and Adobe Acrobat.
*Knowledge of computer databases and ability to update and maintain information.
*Knowledge of procurement practices, accounting and budgeting procedures.
*Knowledge of principles, concepts, practices, methods and techniques common to a modern law office.
* Word processing and transcribing skills.
*Typing 50 wpm.
*Interpersonal relationships.
*Managing and handling a heavy work load under pressure with multiple deadlines.
*Skill in oral and written communication.
*Skill in composing various documents and correspondence.
*Grammar, punctuation, spelling, basic editing, formats of a wide variety of documents.
*State and office procedures for travel and procurement policies.
*Must be able to handle a high volume of work and stressful situations.
*Ability to operate word processing for preparation of legal documents.
*Ability to track court actions in various states.
*Ability to utilize automated case management systems and follow office procedures for maintaining and tracking records.
*Ability to organize, prioritize and perform varied tasks and track multiple deadlines simultaneously.
*Ability to compose correspondence.
*Ability to assist attorneys.
*Ability to use tact and diplomacy in dealing with other agency employees and high-level public officials.
Three years legal experience as an Administrative Assistant.

• Travel may be required for this position. A valid Arizona Driver’s License is required, along with consent to have your driving record run periodically.
