Under general supervision this position is responsible for performing construction office administration duties, procurement of materials, equipment and services, budgeting, construction project cost accounting, data processing and related clerical services.
Responsible for monitoring construction project timelines, quality and compliance with established standards. Maintain required documents on all contract items including contractor payrolls and force accounts.
Develops and maintains a complete and systematic set of records of construction projects and design activities.

Process all labor compliance documentation and review, including but not limited to, certified payroll, on the job training, payment reporting and Disadvantaged Business Enterprises. Maintain subcontractor documentation and reports.
Create appropriate documents and procurement actions to include goods and services. Procurement and Accounts Payable research of automated procurement system, initiate purchase, receiving and verifying purchase and completion of all documents and automated transactions are in compliance.
Assist Office Manager in reviewing and verifying calculations, tests and documentation as related to Manager's process and work assignments. Coordinate training and travel arrangements. Responsible for fixed asset inventory management.
Interact with contractors, consultants, local agencies and citizens to enhance and maintain communications. Generate documentation for and attend partnering, pre-construction, safety, huddle and staff meetings.
Review and/or prepare contract documents in force accounts for completed projects. Prepare project related documentation to ensure conformance with all applicable laws, rules, regulations and standards. Project record archive and destruction.

Knowledge:
Knowledge of the principles and practices of administration, to include but not limited to business math, accounting principles and English/Grammar.
Knowledge of agency rules, regulations and operating procedures.
Knowledge of the procurement system; computer system.
and associated business software such as Microsoft Office, Google Workspace and Adobe Acrobat.

Two years of technical work performing engineering and construction activities to include construction records management and verification, or assisting inspection and administration of highway construction projects.

This position requires driving or the use of a vehicle as an essential function of the job and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
