The Arizona Department of Corrections (ADC) is seeking a qualified individual to perform
clerical work of average difficulty regarding inmate records.
- Performs general managerial administrative functions to include answering
telephones, routing calls, typing correspondence
- Distributing and filing documentation
- Attends meetings and generates minutes, distributes and files accordingly
- Processes incoming and outgoing correspondence
- Schedules meetings, and makes travel arrangements
- Maintains and safeguards institutional files
- Primary timekeeper to include: gathering
- Entering time distributing and filing positive attendance records
- Ensuring the overtime report is completed on a daily basis, and other reports as
requested
- Maintains daily distribution of incoming and outgoing mail
- Generates copy's, files, and distributes various reports to include Temporary Work
Assignment, Monthly
- Statistical Reports, Extended Leave Requests, Family and Medical Leave Act, Special
Visits, Request to communicate with incarcerated inmates, inmate letters, information
reports and other reports as requested.
- Maintains files in accordance with established records retention schedule to include
current and archived documents
- Ensures audit documents are filed daily, files and area are neat and orderly, and
documentation is destroyed within policy guidelines
- Responds to telephone inquiries from staff, agencies and inmate family members
- Generates purchase orders and distributes to various staff; orders and maintains office
supplies and files for the unit
- Assisting in quarterly inventory and purchasing of supplies
- May be required to drive on State business
- Performs other duties appropriate to assignment

- Automated data/manual storage and retrieval techniques
- Numerical and digital filing systems

- Computers using various software programs (Microsoft Word, Excel and Outlook)

- Operate standard office equipment including fax, copier, scanning and telephone

- Learn through repetition, practice and on the job training
- Access the Adult Information Management System (AIMS)
- High School Diploma or GED

Employment is contingent on the selected applicant passing a background investigation, drug test.
In an effort to maintain a safe environment, all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter.
If this position requires driving or the use of a vehicle as an essential function of the job, then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
