Job Summary:

This position performs a variety of complex administrative tasks related to court and tracking regional data for the Program Administrator and Executive Staff Assistant.

Job Duties:

Receive and forward Juvenile Dependency Court Minute Entries for field staff. Research Minute Enter requests from field staff using the Agave court record system. Track court hearing data. Track Foster Care Review Board (FCRB) hearing and attendance data. Confirm monthly FCRB hearing schedules for all field staff. Update the Court Disclosure Cover sheet for field staff. Train new staff on the disclosure process.

Gather, compile and distribute information extracted from different data sources. Create and use complex spreadsheets to track regional data; process adherence, field staff overtime hours, field staff training compliance, Supervised Visitation only (SVO) wait list. Unusual Incident Reports, Case Aide and Visitation Aide hours, field (in training) staff capacity. Create complex spreadsheets for use by other administrative staff, fleet, human resources, and procurement resources.

Monitor and respond to requests in regional administrative email boxes; court information, Program Administrator authorizations and approvals related to client and employee travel, adoption, rural office on-call time tracking, client transport. Make travel requests, complete travel reports, monitor and confirm billing accounts for corrections facility parent/child visitation.

Assist PA with special projects

Performs other duties appropriate to the assignment

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
Principles and practices of administration and management
Computer files and techniques appropriate to individual systems
Business English, spelling, and math
Methods/practices in researching files (paper and computer) to retrieve and update information
Basic office and clerical procedures
Preparation of written correspondence, including style and formatting requirements
File management practices
Microsoft Office, including Excel, Outlook, and Word.

Prioritizing tasks in order of importance, deadlines and urgent requests
Eliciting and gathering information

Selective Preference(s):

Administrative experience is preferred, but not required

Pre-Employment Requirements:

Valid Arizona driver’s license.

Must be able to obtain and maintain a valid Arizona Department of Public Safety Level One Fingerprint Clearance Card

Selected candidates must be able to pass a background investigation and DCS Central Registry check.

Employees who drive on state business are subject to driver license record checks, must maintain acceptable driving records, and must complete any required driver training (see Arizona Administrative Code R2-10-207.12).

Positions in this classification participate in the Arizona State Retirement System (ASRS).
