This position will serve as the administrative team member for the lobby and will report to the Office Chief. This position is responsible for ensuring adequate coverage for all lobby window positions through managing the lobby traffic and by working with the Office Chief and Operations Manager on scheduling and relaying any issues directly to management.
Will handle the most complex customer service complaints, inquiries and issues that may include specialized instruction, training or certification in specialized areas of expertise. This position will be responsible for closing out the cash drawers in the lobby, completing detail usage checks daily and ensuring all supplies and materials for the lobby are adequate.
This position will process issuance through mail, in person and VitalChek requests. The incumbent will interpret and comply with statutes, rules, regulations, policies and procedures. Process and secure customer information, cash receipts, certified paper, applications, corrections, amendments, and confidential documents. Provide quality control of the certified paper and certificates to ensure correct certificates are issued and mailed to correct applicants. Responsible for training lower level staff and will assist with unit workflow, evaluating, recommending and making changes to work processes and procedures.
Provides complete and accurate service to applicants for birth and death certificate requests, amendments,
corrections, adoptions, delayed/presumptive death, putative father and court ordered paternity through the
quality review and shipment of records to applicants.

Knowledge, Skills & Abilities (KSAs): |
Knowledge of:
-Computer fundamentals.
-Knowledge of use of scanners, scanning software, Electronic Birth and Death System, the Google Suite to include GMail, Docs, Sheets and Calendar.
-Basic office equipment and computer systems.
-Performance Management (PM), Continuous Quality Improvement (CQI), and Lean methodologies.

Associate s's degree in a related field with 3 years of work experience or 5 years of work related experience may be considered in lieu of a degree. Preference will be given to candidates with working experience in a vital records office environment.

Must possess a valid level one fingerprint clearance card issues pursuant to A.R.S. §36-113.
