Responsible for the technical management of the fleet information infrastructure including the development of policies, business practices and operational procedures which supports the ADOT statewide Fleet Management function. Responsible for the development, coordination and training of information based business processes for the Fleet Management group and responsibility of fleet and financial data integrity. Oversees all MVD processes and documentation related to the purchasing, titling, licensing, inventory and disposal of State mobile fleet assets.
Primary customer service support for fleet auction sales. Assures data integrity of Fleet Management databases, interfaces with customer in the receipt of used equipment and issuance of new equipment and processes equipment transfers. Responsible for Equipment Services' equipment and fixed assets inventories. Creates purchase orders and processes invoices for payment in APP.
Provides administrative support to the Fleet Manager and Get Ready areas. Processes equipment buys and creates and maintains spreadsheets for tracking purposes. Manages vehicle auction customer issues. Processes customer invoice, bill of sale and vehicle titles.
Creates and maintains spreadsheets for the tracking of equipment expenditures and balances budget for Year End processing. Create electronic equipment master files for all new vehicle purchases. Will maintain procurement and fiduciary integrity in accordance with all applicable state laws, codes and departmental directives.
Develop and update new and existing procedures to ensure compliance and accuracy. Will train others in auction receivables from Arizona State Treasurer Wire Notifications.
Responsible for licensing, registering and titling all vehicles through the MVD 3rd Party Certification Program; notarizing all titles for sold vehicles and/or equipment; uses motor vehicle records to confirm previous owner information. Same responsibilities for MPD and other divisions.
Creates and runs existing reports as scheduled. Processes Risk requests for totaled vehicle titles. Work closely with ADOT MPD with the addition of Federal Transit Administration vehicles and setting them up to receive required annual inspections.

- ARS Title 28.
- Inventory and fixed asset practices and processes.
Skill:
- Oral and written communication techniques.
- Computer programs (Microsoft Google Workspace to develop custom reports and transfer of data in various forms of electronic and written format).
- The general use of office equipment.
- Analyzing and evaluating a wide variety plans, projects, and work order practices/information.
Ability:
- Develop and coordinate operating procedures, analyze problems and design effective plans for program improvement.
- Show meticulous attention to detail and accurate data entry.

- Pass a comprehensive background investigation.
- Multi-task and handle competing demands.
Three years administrative experience with Fleet Management processes.

This position requires driving or the use of a vehicle as an essential function of the job, and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
Will be certified as a Third Party MVD operator and Notary Public or ability to obtain certification within the 5th month of employment.
