Job Summary:

This position will provide support to Community Relations staff, including Community Relations Project Managers, Supervisors and the Assistant Director, for projects and studies in ADOT Districts, as well as statewide planning efforts, programs and initiatives. This position will have frequent contact with the public by email and phone and works with Community Relations staff to address public questions and concerns.

This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Job Duties:

Develop, manage and maintain project databases utilizing Excel, Google Sheets, GovDelivery and/or other stakeholder management systems. Conduct research and call/email to secure project contacts. Assist in gathering demographic data for projects. Maintain public comment spreadsheets/logs (including the annual Five Year Program), assist staff in responding to public comments.

Provide direct public-facing customer service by monitoring and responding to public inquiries on the project email/hotline, receiving reports of issues and working in collaboration with district-based Community Relations staff members to address those issues and communicate resolution. When needed, coordinate with the Governor's Office constituent services staff.

Assist with creation, proofreading, printing and distribution of public notices, fliers, traffic alerts, surveys, meeting materials, social media posts, and other public collateral materials in coordination with other Community Relations staff.

Assist with managing electronic and physical project files. Maintain updated the Community Relations internal project resources website. Maintain tracking logs for Title VI compliance reporting, public meetings/community engagement activities, website activity, and other Community Relations metrics. Maintain a master calendar for public meetings, ADOT events, community and special events, presentations and other project activities.

Prepare meeting agendas and minutes, assist in developing/updating standard work, prepare reports and presentations for internal and external audiences.

Knowledge, Skills & Abilities (KSAs):

Knowledge:
- Intermediate computer skills, including proficiency in Microsoft and/or Google suite software.
- Editing and proofreading ability, with knowledge of proper spelling, punctuation, and grammar.

Skill:
- Demonstrated written and verbal communication skills.
- Organization and ability to manage multiple tasks.
- Coordinating projects, managing and prioritizing workload under deadline.
- Accurate typing proficiency at least 30 words/minute.
- Preparing and formatting reports and agendas and taking accurate meeting minutes/notes.
- Use of organizational communications methods, including email, formal correspondence, and memos.
- Electronic filing organization.

Ability:
- Experience responding to public queries effectively and professionally.
- Diplomacy and ability to communicate and interact effectively with the public, ADOT staff and government partners.
- Customer service ability to help resolve issues accurately, courteously, and timely.

Selective Preference(s):

A Bachelor's degree in an appropriate field from an accredited college or university.
At least two years experience or a combination of applicable education and experience.
Experience interacting directly with the public to provide information and address concerns.
Experience working in state, federal or local government.

Pre-Employment Requirements:

This position requires driving or the use of a vehicle as an essential function of the job, and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
