Job Summary:

The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is looking for a very professional individual who acts and supports the Occupational Health Unit (OHU) to coordinate and manage multiple ongoing programs that are essential to the health, safety, and compliance functions of ADCRR. This position also promotes and coordinates employee wellness initiatives at the Arizona State Prison Complex - Tucson.

Job Duties:

- Maintains and oversees the inventory of vaccinations and medical supplies for the site
- Coordinates annual vaccinations and screening events
- Schedules and organizes the business work flow of the OHU facility
- Maintains access to OHU when the Occupational Health Nurse (OHN) is not available, directs employees to the appropriate resource, provides paperwork and follows up
- Tracks and maintains regulatory compliance and submits the corresponding reports
- Oversees the occupational health logistics for site specific regional Correctional Officer Training Academy (COTA) classes and ensures the OHN has the necessary supplies and paperwork for the regional class
- Drafts internal communication with stakeholders to provide procedural updates and notification of health and safety events
- Sorts incoming and outgoing mail
- Maintains weekly statistical reports regarding Family and Medical Leave Act (FMLA), Temporary Work Assignment (TWA) and injury rates
- Updates the Occupational Safety and Health Administration (OSHA) database to maintain the OSHA record logs
- Ensures year end mandatory OSHA posting
- Maintains communication with Central Office for chest x-rays and exposure incidents
- Provides technical assistance to the OHN
- Assists with problem solving of safety related site issues and attends safety committee meetings
- Coordinates wellness programs
- Updates technical manuals
- Gathers medical records following employees requests
- Coordinates with Central Office when there is a subpoena request for employees medical records
- Performs other duties assigned as related to the position

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
- Principles and practices of administration and office management include field OHU clinical setting
- Google, work processing, excel spreadsheets, database, computer programs and maintenance of office equipment
- ADCRR policies, the Occupational Health Unit Technical Manual, procedures in regards to the purchase of supplies, and field OHU reporting requirements

Skill in:
- Verbal and written communication and good interpersonal relationships
- Organization
- Typing and computers
- Grammar, punctuation and proofreading
- Setting up preparing and editing computerized reports
- In maintaining confidentiality of medical records
- File management

Ability to:
- Plan, analyze, coordinate activities
- Establish priorities and resolve routine problems
- Analyze and summarize confidential reports
- Create spreadsheets
- Work in a prison environment

Selective Preference(s):

- Minimum of two years administrative experience
- Combination of training and experience in administrative tasks

Pre-Employment Requirements:

Employment is contingent on the selected applicant passing a background investigation and a drug test.

In an effort to maintain a safe environment, all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter.

If this position requires driving or the use of a vehicle as an essential function of the job, then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked or suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).

Retirement:

Positions in this classification participate in the Arizona State Retirement System (ASRS).

Enrollment eligibility will become effective after 27 weeks of employment.
