The Project Specialist provides essential administrative and operational support to the Bureau of EMS and Trauma System’s Certificate of Necessity (CON) and Enforcement sections. This position ensures the efficient processing of regulatory casework, correspondence, and documentation in accordance with Arizona Revised Statutes (A.R.S.) Title 36, Chapter 21.1, and Arizona Administrative Code (A.A.C.) Title 9, Chapter 25. This position serves as the primary on-site support for the Bureau’s regulatory operations, requiring regular in-office presence to manage daily mail, receive and process check deposits, prepare outgoing correspondence, and maintain case files and records. The incumbent supports section staff who work in hybrid or remote environments by coordinating document flow, scanning and uploading case materials, and ensuring timely communication and task completion across teams.

Job Duties:

Serve as a reliable onsite presence to support hybrid staff and ensure continuity of day-to-day Bureau operations. Open, log, and distribute incoming mail and process outgoing correspondence and packages. Receive and process check deposits, ensuring accuracy, documentation, and compliance with financial procedures. Prepare, scan, and upload case documentation, correspondence, and evidence into the ImageTrend licensing management system and other databases.

Maintain organized electronic and physical filing systems for CON applications, complaint investigations, and enforcement case records. Support CON and Enforcement staff by tracking timelines, updating case logs, and ensuring case materials are complete for review and closure.

Coordinate meeting logistics, including scheduling, preparing agendas, and distributing materials for hearings, workgroups, and case conferences. Respond to program inquiries, route calls and emails, and provide courteous customer service to regulated entities and the public.

Track and maintain office supplies and equipment, assist with staff travel claims, and purchase requests.

Assist with the preparation of reports, data summaries, and correspondence for Bureau management, the Office of Administrative Counsel, and the Attorney General’s Office.

Maintain confidentiality of sensitive enforcement and complaint records and ensure compliance with public records and records retention policies.

- Excellent technology skills on variety of software programs to include Microsoft software programs, Google program, Internet research; records management and document control systems.

Selective Preference(s):

Associate degree in related field with 3 years of work experience or 5 years of work related experience in dealing with upper level management and/or program/project support, may be considered in lieu of a degree.

Retirement:

To help you build a financially secure future, the State makes monthly contributions to finance your retirement benefit. The State will contribute to the ASRS in an amount equal to your contribution.
