Reporting to the Deputy Administrator, the facilities project coordinator is responsible for a variety of tasks regarding the facilities and general office management at PSPRS. Duties range from procurement, facilities maintenance (regular and emergency), vendor coordination, travel coordination for staff and trustees, Trustee related meeting facilitation, and support of executive team administrative needs, as well as supporting general staffing logistics.
The Facilities Project Coordinator duties include:
• General on-site operations, building maintenance (regular and emergency), and building security.
• Coordinates workstation considerations with IT and leadership to ensure smooth onsite operations: hotel stations, offices/cubicles assignments and the reservation calendars.
• Emergency contact for security and fire alarm systems with outside vendors.
• Oversee the janitorial services and supplies provided by an outside vendor.
• Coordinate outside-building repairs with the Biltmore property management with the lawn and parking areas.
• Oversee Property Management company’s maintenance technician who does routine and general repairs.
• Manage and report repairs and preventive maintenance for the copiers and postage meter. Replenish supplies as needed.
• Oversee the upkeep and preventive maintenance on the (3) water dispenser units.
Office Manager duties include
• HR Support: Staff onboarding/exit assistance: phone directories, ID badges, and seating chart updates. Prepares welcome email and resource binder.
• Purchases office supplies, business cards, calendars, furniture, name plates, copy paper, envelopes, and upkeep.
• Coordinates logistics for events/functions for Board of Trustee meetings, office meetings and various employee events (including the ordering and facilitation of monthly lunch).
• Manages the travel arrangements and purchases for authorized traveling employees.
• Purchase memberships and registrations for Staff with agency approvals. Oversee all the building preventative maintenances and annual permits throughout each year.
• Back-up: reception desk and notary for walk-in members for the Member Services Staff.
• Signatory for payments paid by Accounts Payable for building operations.
• Ad hoc administrative support to Executive Team and operations, as needed and capacity permitting
