The Department of Economic Security, Division of Developmental Disabilities (DDD), is seeking an experienced and highly motivated individual to join our team as an Administrative Assistant 3. This position provides support to the Division's Chief Quality Officer (CQO) and Quality Management Unit (QMU). The Unit is responsible for administering the quality program for approximately 36,000 DDD members. This includes quality assurance activities such as incident investigation, on-site monitoring in residential facilities funded by the division, credentialing of qualified vendors and performance improvement activities. This position assists the CQO with ensuring Arizona Health Care Cost Containment System mandates are met by the established due dates in addition to DDD requirements.
DDD provides individuals with developmental disabilities, and their families, services and supports that are flexible, high-quality, and member-driven. These services provide individuals with opportunities to exercise their rights and responsibilities of independent decision-making and engagement in the community. This position is also responsible for inputting and monitoring database tracking homeless members, members in need of affordable housing and housing outcomes as required by the Arizona Health Care Cost Containment System (AHCCCS) contract.
Applicants for this position cannot be licensed or certified by the DDD Office of Licensing, Certification and Regulation, cannot have a principal interest in or have a spouse or close family with a principal interest in a DDD Qualified Vendor Agreement, and cannot be employed or subcontracted by a DDD Qualified Vendor.
Essential Duties and Responsibilities include but are not limited to:
- Arranges, coordinates, and schedules meeting.
- Takes and writes meeting minutes.
- Data mining and graphically display data for analysis.
- Organizes and maintains electronic files on common drive.
- Creates and maintains Excel spreadsheets of assignments, deliverables, due dates, and other quality activities.
- Assists with coordination and tracking of completion of QM standards in Operation Reviews.
- Creates and updates PowerPoint presentations.
- Creates, reviews and updates templates and tools.
- Formats policies and procedures.
- Archives documents per archiving schedule.
- Creates Purchase Orders in Procedure AZ for unit needs.
- Coverage of office phones.
- Schedules maintenance for state vehicles and ensures completion.
The preferred/ideal candidate for this position will have:
- At least three (3) years of administrative experience. Prefer two (2) years of general office experience.
