Job Summary:

• This position will support the Deputy Associate Superintendent of Assessments and has the added responsibility of supporting the Division's administrative functions (budgets, web, procurement, data files).
• This position will also assist the Deputy Associate Superintendent of Accountability to maintain sound fiscal operations and implement best practices procedures:
• Developing and maintaining a system of budget controls;
• Assisting in the maintenance of projects, special accounts, and conferences;
• Coordinating meetings and travel logistics;
• Assigning priorities and deadlines;
• Coordinating activities within procurement systems;
• Acting as liaison between the budget department and Deputy Associate Superintendents;
• Handling confidential information;
• Maintaining, updating and submitting budget amendments and other procurement items;
• Preparing reports for various stakeholders; and
• Developing and implementing budget and accounting procedures
• Rare in-state travel is required for this position.

The Arizona Department of Education currently utilizes a hybrid work environment, with up to two days of remote work (contingent upon business needs). Candidates should apply with an ability and willingness to work in-office up to five days per week as business needs necessitate.

Job Duties:

• Provide comprehensive, professional administrative support to the Deputy Associate Superintendent of Assessments to including:
• Coordination and management of an executive schedule;
• Support with articulate, professional communication to both internal and external stakeholders;
• Preparation for meetings, presentations, and travel;
• Preparation of State Board abstracts and documents;
• Implementation of ADE policy and procedures; and
• Coordination of work/project timelines developed in each section within the division; coordination of data reports
• Provide support to all assessments staff that including phone protocols, managing outlook for leadership staff, setting up professional development registration, record retention, ordering supplies, procurement procedures, yearly budget reporting, coordination of administrative support for agency wide events, procedures for new staff set-up, and support for new technology programs utilized by administrative support staff
• Provide ongoing essential, cohesive administrative and organizational support to the multiple federal and state grants along with federal and state laws managed within the assessments team
• Work with the division's Deputy Associate Superintendents or their designees to coordinate office moves, storage organization, and additional procedures that require a uniform system for the team
• Assist in the coordination and implementation of inter-agency activities that involve the assessments team

• Arizona State statutes and federal regulations relating to budgets and funding
• A minimum of two years supporting data and finance operations in an educational setting is required

Selective Preference(s):

Preference will be given to those applicants with:
• Post secondary education in accounting, finance, or organizational management
• Experience with State of Arizona procurement system
