The Department of Economic Security, Division of Developmental Disabilities (DDD), is seeking an experienced and highly motivated individual to join our team as an Executive Assistant. DDD provides individuals with developmental disabilities, and their families, services and supports that are flexible, high quality, and member driven. These services provide individuals with opportunities to exercise their rights and responsibilities of independent decision-making and engagement in the community.

Applicants for this position cannot be licensed or certified by the DDD Office of Licensing Certification and Regulation, cannot have a principal interest in or have a spouse or close family with principal interest in a DDD Qualified Vendor Agreement, and cannot be employed or subcontracted by a DDD Qualified Vendor.

Job Duties:

Essential Duties and Responsibilities include but are not limited to:
● Works with QM Medical Director & CQO to implement strategies to ensure efficient day-to-day operations. Provide administrative & technical assistance & support related to division’s goals, objectives, accountability & quality related to various projects. Coordinate, prepare & responsible for recording detailed minutes from various committees & meetings with various levels of complexity and internal and external stakeholders. Ensuring f/u actions are completed.
● Track and follow up on all assignments and deliverables provided to QM Medical Director and CQO. Receive, assess, assign, coordinate, track, and finalize resolution/response with the QM Medical Director and CQO & submits response as needed. Review and assess project assignments providing suggestions on coordination and assignment of staff.
● Drafts various forms of correspondence from e-mails to formal correspondence for the QM Medical Director and CQO. Initiate and prepare business reports, directives, formal recommendations and solutions for resolution of problems as related to operations, policies and procedures. Maintains electronic and hard copy files.
● Create, review, and update templates and tools; assists with formatting policies, procedures and Standard of Work. Create, review and update PowerPoint presentations for the various meetings and committees. Perform any needed data mining and graphically display data for analysis.

Knowledge, Skills & Abilities (KSAs):

Knowledge in:
● Knowledge of principles of administration and management.
● Understanding of the organization and management of federal, state and local agencies, entities that fund and/or deliver services.
● Procedure analysis and policy development and research techniques (e.g., internet and other sources).
● In-depth knowledge and understanding of the creation, development, writing and editing of high level business communications (i.e., letters, memos, email and reports).
● Time management.
Skills In:
● High-level skills in analyzing, problem solving and decision-making.
● Excellent oral and written communication skills including graphic presentation of information/data.
● Establishing and maintaining effective working relationships including other governmental entities.
● Using Google Office Suite computer programs (i.e., Google Docs, Sheets, Slides, Forms, Gmail, Calendar, etc.,) and a high comprehensive level of computer skills including Microsoft Office Products.
● Organizing and assisting a principal in their day-to-day operations.
Ability to:
● Learn, interpret and apply Federal and State rules/regulations governing DES / DDD and learn and apply personnel rules, policies and procedures and learn and leverage new technologies provided to improve workflow processes.
● Negotiate and problem solve.
● Provide professional executive level administrative and technical support in program policy, development and implementation.
● Handle highly sensitive and confidential assignments and situations including legal or personnel related matters.
● Act as a liaison between higher executives, other employees, and inter- and intra- agency for the division.

Selective Preference(s):

The ideal candidate for this position will have:
● Combination of education and work experience showing three to five years of progressively higher-level executive or administrative responsibility with senior level management experience. Experience in state government preferred.

Pre-Employment Requirements:

● Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver's license, complete all required training, and successfully pass all necessary driver's license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to Driver's license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operated a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) (R2-10-201.11).
● Successfully pass background and reference check; employment is contingent upon completion of the above-mentioned process and the Agency's ability to reasonably accommodate any restrictions.

Retirement:

State employees are required to participate in the Arizona State Retirement System (ASRS), the State sponsored retirement contribution plan and the Long-Term Disability (LTD) program after a 27-week waiting period. The ASRS defined benefit plan provides for life-long income upon retirement. You will also have the option to participate in a voluntary deferred compensation program to take advantage of tax-deferred retirement investments.
