Duties and Responsibilities: 

60% Counsels potential graduates on program requirements for graduation. Evaluates students’ transcripts, degree audits, program curriculum and determines graduation eligibility for each potential graduate. Loads students’ graduations status in the Student Information System. Serves as the primary contact as it relates to student degree requirements and graduation status for their assigned alphabet. Consults and communicates with academic advisors, assistant Deans and Deans to resolve student’s graduation related issues. Supervises one (1) contract employee.

20% Maintains knowledge of program requirements, class pre-requisites and test scores requirements and advises students on such requirements. Assists with overall student registration processes to include, but not limited to troubleshooting student’s registration issues, drop/add courses, course reinstatement requests, interpreting holds, student withdrawals, one day transcript requests, and all other related duties in person, email, chat or virtually.

15% Processes and determines the eligibility of enrollment verifications, cross-enrollment and non-Louisiana Residency Reclassification. Keeps logs of all trial schedules for enrolled suspended students. Responds to inquiries from outside institutions requesting course descriptions for previous students seeking transfer credits. Maintains the physical hard copy of students’ files, including but not limited to: managing the organization retention and storage of permanent student files and documents; develops processes and procedures for retrieving students’ files and documents to prevent access by unauthorized staff. Develops processes to purge student’s records following the Records Retention polices.

5% Reviews and verifies GPA and programs for eligibility to Dean’s and Honor’s Lists designation following the college policy. Sends out Dean’s and Honor’s notification letters to the eligible students. Formats Dean’s and Honor’s files to be published on the Registrar’s Office website. Performs other related duties as required and assigned by the Supervisor, College Registrar or designee.

Required Education: Bachelor's Degree

Required Experience: At least one (1) year of experience working in a fast-paced professional office environment - preferably within a college setting. Excellent customer/student service and interpersonal skills; excellent listening and communication skills required for interaction with students, faculty, staff and academic departments.

Preferred Experience: At least one (1) year of experience working in the Registrar's Office with strong organizational skills, attention to detail and ability to multi-task.
Strong computer skills - MS Office including Word, Excel, and Power Point
