Duties and Responsibilities:

 1. Payroll
• Responsible for the administration of electronic employee timesheet in LoLA which includes but is not limited to assuring proper approvals for leave request and compensatory request. Ensures that correct earn codes are used to process various types of leave request.
• Provides guidance to faculty and staff concerning LoLA web time entry and approval.
• Processes payroll and personnel actions needed to complete appointments, merit increases, promotions, transfers and separations, etc.
• Computes routine pay changes. Computes service time as needed. Verifies accuracy of information and makes corrections as needed.
• Verifies bi-weekly payroll. Communicates with Centralized Payroll and accounting ensuring that all error messages are corrected, and that payroll is processing correctly for all employees.
• Compiles and maintains personnel and payroll records.
• Calculates employee leave payouts for employment separations and ensures accuracy in final paychecks.
• Assists setting-up full time and adjunct faculty contracts.
• Researches and corrects any discrepancies or irregularities in pay actions, retirement, health/life insurance and general miscellaneous deductions in a timely manner.
• Assists the Benefits Coordinator with completing one-time paperwork for additional deductions and/or refunds of deductions from paycheck.
• Review deductions for employees in leave without pay (NOP) status and establishes a tracking method for underpayments on a monthly basis. Corresponds and relays information to employees for recoupment. Follows up with employees to ensure collection of payment.
• Receives and submits employee garnishment documentation to LCTCS Centralized Payroll Office and ensures accuracy in processing. Maintains confidentiality.
• Processes employment verifications on a timely basis.

2. Benefits
• Works in conjunction with the Benefits Coordinator to assist with daily benefit administration for various employment benefit programs such as group health, life, medical, miscellaneous insurance products, flexible spending arrangements, health savings accounts and retirement programs such as TRSL, ORP, and LASERS.
• Assists Benefits Coordinator in providing general, basic explanations of employee benefit programs and advises employees of various options available.
• Assists Benefits Coordinator with benefits orientation for new hires, providing guidance and a general overview of benefit related documents.
• Serves as back up for the Office of Group Benefits website, ensuring that new hire insurance entry and open enrollment changes are entered timely.
• Assist Benefits Coordinator with benefits enrollment and insurance deduction entries in Banner.
• Assist Benefits Coordinator with annual enrollment.
• Assist Benefits Coordinator with various events such as the annual benefits fair and the Live Better LA on-site health checkups.
• Responsible for setting up and/or terming retirement deductions in Banner per information provided by Benefits Coordinator.
3. Other
• Assist Benefits Coordinator with various types of deduction verification and reconciliation.
• Greet and respond to telephone and walk in in guests and handle inquiries from faculty and staff.
• Compose and prepares routine correspondence regarding payroll and benefits program area of responsibility. Attends meetings, workshops, etc. as required.
• Demonstrate a high level of interpersonal skills to handle sensitive and confidential situations.
• Files payroll correspondence in personnel files on a biweekly basis.
• Performs other related duties as assigned.

Required Education: 

Bachelor’s degree required, or Associate’s degree with two (2) years of human resources experience, or five (5) or more years of full-time work in human resources. Possess excellent communication skills and have an ability to maintain a good working relationship with others. Strong organizational and time management discipline. Solid judgement and ability to resolve conflicts effectively. Ability to multi-task and operate effectively in stress situations. Higher education HR experience preferred.
