Duties and Responsibilities:

 • Responsible for enhancing the recruiting process, post jobs, research advertise sites and obtain advertising quotes.

• Onboard new employees by conducting background checks and E-Verify, assisting with completion of packets, and assigning orientation courses.

• Responsible for HRIS by entering and maintaining accurate employee and position data, for reporting and distribution. Provide position data and complete reports for submission to Board of Regents as it relates to employees and positions.

• Responsible for benefits programs such as retirement plans; medical, supplemental, life insurance plans; disability; reconciliations; annual enrollment; benefits and health fair; Family Medical Leave Act (FMLA); worker’s compensation; credit union. Serve as liaison with all benefit representatives.

• Responsible for Family and Medical Leave Act by informing employees of their rights and responsibilities. Assist employees in the processing of FMLA application and monitor all applications to ensure proper procedures are followed. Issues FMLA documents to the necessary parties and assure completion of return to work documents.

• Responsible for worker’s compensation by providing information and assistance to employees and managers. Maintain contact with injured employee and contact medical provider for updates.

• Review and analyze changes to state and federal laws pertaining to benefits to ensure compliance. Report necessary or suggested changes.

• Coordinate annual enrollment, distributing employee announcement materials for benefit orientations and annual enrollment of new plans and changes to existing plans to communicate to employees. Conduct employee meetings and arrange for enrollment.

• Responsible for employee assistance program.

• Responsible for educational assistance, informing employees of eligibility and the process.

• Plan, coordinate and host annual Benefits & Health Fair.

• Responsible for payroll by monitoring the collection, calculation, and entering of data. Review changes and exemptions to records.

• Qualify applicants and process employment application documents to ensure that persons being employed meet the qualifications for the positions for which they are applying and assist applicants with submission of required documents. Serve on search committees.

• Responsible for faculty contracts in regards to preparation, distribution and entering into Banner.

• Submit board actions to the system office for board meetings.

• Responsible for reviewing and tracking all required employee performance evaluations, planning and trainings in the system. Assists with professional development for the college.

• Responsible for organizational charts.

• Responsible for mentor program.

• View and produce various reports regarding Human Resources programs.

• Responsible for maintenance of confidential personnel records, Human Resources records, and official transcripts in the Human Resources personnel systems. Coordinate scanning of documents as necessary.

• Inform employees of outside employment annual reporting requirement, coordinating approval and collection of forms.

• Prepare and maintain the college’s catalog and other related publications.

• Responsible for purchase requisitions by verifying specifications and price, obtaining recommendations from suppliers, and obtaining approval. Retrieve and organize vendor quotes.

• Plan and host events to include, but not limited to, new hire receptions, job fairs, professional development, awards ceremony, and employee appreciation week.

• Responsible for special projects in regards to assigned programs to include, but not limited to, research, reports, and data analysis.

• Assist with departmental compliance and audits (legislative, OCR, ORM, civil service, internal, etc.).

• Reserve rooms and schedule meetings, professional development, trainings, and events.

• Responsible for Human Resources boards at all campuses.

• Communicate information to employees and other agencies regarding human resources information.

• Assist ADA Coordinator with facilitating ADA and disability awareness training for staff related to accessibility for and inclusion of people with disabilities, rights and responsibilities, meeting guidelines, reasonable accommodation, and resources and policies.

• Assist with Title IX investigations involving employees.

• Interpret Civil Service rules and regulations as well as other state and federal regulations related to Human Resources issues for management, employees and applicants.

• Serve on committees and attend meetings and trainings in regards to programs of responsibility.

• Attend trainings, meetings and other educational functions as required.

• Serve as backup to Human Resources staff.

• Perform other duties as assigned.

 

Required Education: Bachelor’s degree from an accredited college/university. An Associate’s Degree with 5 years’ experience may substitute for the Bachelor’s degree.

 

Required Experience: Customer service experience; ability to interpret documents and data; ability to prioritize and summarize requests; ability to work in a fast-paced environment; problem solving abilities and experience; exceptional communication skills; proficiency in the use of networked personal computer and associated software, organizational and project coordination skills.

 

Preferred Experience: Experience on a college campus in an administrative support capacity.
