Job Title: Administrative Assistant, DPT Program
Reporting Relationship: Program Director

Summary of Position: Responsible for facilitating and assisting the department of Physical Therapy with meeting professional education requirements especially related to clinical education, scholarship, service goals, and expected program outcomes. Major responsibilities include participation in accreditation processes as well as student admission. Works closely with the Division chair to set goals and expectations for the position.
Duties and Responsibilities
Serves as first point-of-contact for Physical Therapy including answering questions related to the program and scheduling “meet and greets” with DPT faculty members
Records and publishes minutes from departmental meetings; others as requested (e.g. DPT Admissions Committee meetings, other committee meetings)
Plans, organizes and coordinates annual, semi-annual, and special events such as DPT White Coat Ceremony, DPT Convocation, DPT Interview Days, DPT New Student Orientation, PT Advisory Board meetings, Continuing Education events
Collects syllabi and other instructional materials (e.g., exams, assignments) for all PT courses each trimester and posts to appropriate DPT folders and drives
Maintains PT student files and databases, both paper and electronic
Updates PT student handbooks and department policy and procedure manuals as directed by Program Director and ensures updates are communicated to appropriate internal entities (e.g. colleague, course catalog, operational units, etc.
Uses internal University systems to ensure accurate information is populated and assigned (e.g. Brightspace through Colleague, etc.) as well as coordinates room requests
Manages logistics for student and faculty Global travel experience
Maintains and orders office and educational supplies including faculty textbook requests
Prepares and submits work orders to Facilities Services as needed
Performs other duties as assigned to assist with running the department
Contributes to team effort by welcoming new and different work requirements, exploring new opportunities to enhance the services of the department, and helping others accomplish related job results when needed
Assists Program Director with financial record keeping, including managing reconciliation of accounts

Education
Associates degree required
Bachelor's degree preferred
Experience
Three to five (3-5) years’ experience in a progressively similar office management work environment
Experience in an academic or healthcare setting preferred

Ability to work with minimum supervision
Ability to multi-task in a busy environment with multiple interruptions
Advanced computer skills with working experience in word processing, spreadsheets, database usage, e-mail, Internet, etc.
Ability to maintain confidentiality of student and faculty information
