Job Title: Project Coordinator and Administrative Assistant
Reporting Relationship: Executive Director of Youth Ministry Events
Unit: IWU-Marion

Campus Location: Noggle Christian Ministries, Marion, IN
Summary of Position: Youth Ministries Events is a department housed in the School of Theology and Ministry. The Project Coordinator for Youth Ministry Events will provide operational support for Youth Ministry Events which includes Fusion (a high school conference), Never Too Young (a middle school conference), Summer Ministry Teams, Examen Camp (high schoolers called to ministry), and Pursue (high schoolers called to ministry).
Duties and Responsibilities
Support the Executive Director of YME
Manage the calendar of the Executive Director of YME as requested
Reconcile the Executive Director’s university credit card
Provide administrative support for YME
File and copy documents
Develop and edit written communications
Schedule appointments and meetings
Make travel arrangements
Receive phone calls and take messages
Distribute materials
Maintain program databases as needed
Oversee supplies and operational needs
Maintain professional correspondence with outside constituents from various churches and ministry organizations
Develop and maintain office systems, policies, and procedures in compliance with Indiana Wesleyan University
Execute workflow plans for YME
Manage YME yearly calendar
Coordinate the YME calendar with the STM Operations and Project Manager
Implement both short-term and long-term planning strategies
Create a cohesive communication plan for event marketing
Assist in programming, delivery and production of YME
Attend leadership retreats and staff meetings
Must be willing to work some evening hours and travel occasionally for event delivery and production

Provide operational support for YME
Collect all receipts for YME credit cards
Upload all receipts into the credit card reconciliation software
Submit monthly credit card receipts to the STM Operations and Project Manager
Submit reimbursement and payment forms to the Dean for approval
Review the monthly STM Operations and Project Manager budget report to ensure accuracy
Qualifications: According to Indiana Wesleyan University employment policy all employees must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement.
Education
Bachelor's degree in the field of ministry is preferred
Experience
Event planning and administrative experience required
Ministerial experience in the local church preferred
