The Opportunity

This position reports to the Manager, Scholarship and Study Loans and is required to work closely with staff of other units and schools across Monash University Malaysia as well as the Australian campuses, and external stakeholders.

The Assistant Manager, Scholarship and Study Loan, is responsible for the effective administration and delivery of scholarships, study loans, and sponsorship programs at Monash University Malaysia. The position ensures compliance with University policies and external funding regulations, provides expert advisory services to students and stakeholders, and supports the promotion and visibility of financial aid offerings.

Key responsibilities

  1. Provide accurate, timely, and policy-aligned advice to students, staff, and external stakeholders regarding scholarship eligibility, conditions, and entitlements. This includes interpreting and applying Monash University policies and scholarship regulations consistently, and ensuring key stakeholders are kept informed of any changes in eligibility criteria or entitlements to facilitate transparency and compliance.

  2. Administer, manage and continuously improve the integrity and functionality of scholarship-related databases and record systems. This involves ensuring the accuracy and currency of data, timely updates for student records, and compliance with internal audit, reporting, and governance requirements to support strategic decision-making and accountability.

  3. Administer the full range of scholarship processes, including new awards, renewals, deferments, and terminations, in alignment with University policies and funding agreements. This includes working closely with schools and administrative units to monitor academic progress, process payments, ensure accurate financial reporting, and uphold scholarship conditions throughout the award lifecycle.

  4. Oversee the end-to-end administration of PTPTN loans, from student application and submission to progress verification and reporting. Ensure compliance with PTPTN regulations and institutional procedures by coordinating timely data uploads, facilitating academic eligibility assessments, and serving as the primary liaison with PTPTN officials.

  5. Plan, coordinate, and support key scholarship-related events such as award ceremonies, briefing sessions, and outreach initiatives. Assist in developing marketing materials and executing promotional activities aimed at enhancing visibility of scholarship and study loan offerings. 

  6. Provide accurate, complete, and well-organised documentation to support internal and external audit processes.

Key selection criteria

Education / Qualifications:

  1. A university degree and/or relevant experience in a similar capacity in a tertiary education setting. 

Knowledge and Skills:

  1. Well developed written and verbal communication skills, including the ability to interact with a diverse range of stakeholders and negotiate positive outcomes to complex issues. 

  2. Ability to work in a highly volume-fast paced environment. Highly competent, experienced and effective at managing time and prioritising workload to meet deadlines. 

  3. High level of accuracy and attention to detail in managing databases, records, and compliance-related activities. 

  4. Proven ability to interpret and apply complex policies and procedures effectively.

Desirable: 

  1. Experience with and knowledge of scholarships and financial assistance programs 

 

Other job related information

  • Travel to other campuses of the University may be required.

  • There may be a requirement to work additional hours from time to time. 

  • There may be peak periods of work during which taking of leave may be restricted.
