The basics of this position:
The Administrative Coordinator coordinates the accurate and timely completion of both routine administrative department functions and assigned special projects for the department of Academic, Career, and Transfer Advising, providing technical and administrative managerial support to the director.
What you'll do:
- Coordinate logistics of events including scheduling rooms, ordering supplies, catering, and managing district internal calendar.
- Oversees the maintenance of accounting records for departments, which may include purchase. orders and requisitions, billing, expenditures, revenues, inventory, hiring, and payroll.
- Coordinate scheduling and support for on-campus recruitment for employers and university partners.
- Operate various technology platforms, including Navigate, Banner, and Page Up for reporting, surveys, student referrals, requisitions, budgeting, and employee hiring.
- Assist with supporting travel and professional development for district department, including expense reports.
- Manage district focused emails from stakeholders that require direction and/or action at a district level from the director.
- Approve students, alumni, and employers’ registration in the employment management system, Handshake.
- Initiate marketing requests for the department in support of Academic, Career, and Transfer programming and communication.
- Schedule meetings, draft agendas, and take meeting notes.
- Monitor and manage assigned budgets for the department.
- Participate and chair department and college committees.
- Order office supplies, furniture, business cards, name tags and other work with vendors on student giveaways and swag.
- Coordinate scheduling of interviews, moving candidates in Page Up, and new hire orientation scheduling.
- Create internal surveys for staff feedback on relevant topics.
- Travel across district to fill in for front desk staff, as needed.
- Greet and provide exemplary service to students, faculty, staff, and visitors.
- Schedule student appointments and handle incoming phone calls and email inquiries.
Education, experience, and other requirements:
• Associate's Degree in a related field with three to five (3-5) years of experience.
• High School Diploma with over five (5) years of progressively responsible secretarial work experience.
Preferred Qualifications:
• Experience in a college/university setting is preferred.
