About the Opportunity

A unique opportunity exists for a Centre Administrator to join our growing success and become a part of a vibrant working environment. Working within the dynamic WestCity Shopping Centre team, this role will see your provide Customer Service and Administration support for the Centre Management team. This is a fantastic opportunity for an experienced Administrator looking for a 12 month fixed term contract.   

Key responsibilities will include;

  • Accountable for the day to day running of ad-hoc and scheduled office and administration duties
  • Provide administration support to the Centre Management team
  • Be the first point of contact for greeting tenants, visitors and staff
  • Answer incoming calls and responding to general enquires
  • Maintain the Retailer Public Liability Register
  • Collate and enter all monthly sales results and verify results with annual audited sales reports
  • Processing monthly purchase orders, receipting invoices and raising monthly billings including utility charges, one-off charges, and direct recoverable charges
  • Assisting with monitoring and tracking monthly expenditure in line with the budget
  • Management of petty cash including reconciliations.
  • Prepare & process documentation for casual leasing bookings and community bookings
  • Prepare & process documentation and issuing cards for centre staff car parking
  • Assist with preparing reports, presentations and other documentation as needed.  
  • Assist with contractor inductions and enquires
  • Record, manage and distribute all lost property
  • Maintain a high standard of presentation of the reception area and meeting rooms
  • Maintain office amenities including ordering and management of stationery and entertainment supplies
  • Organise and maintain files, records and databases (both paper & electronic)

What Sets You Apart 

  • Previous experience working in an administration or reception role
  • Basic accounts experience, with knowledge of accounting software and accounting principles (e.g., invoicing, budgeting, reporting)
  • Experience in retail or commercial property industry ideal but not essential
  • Advanced interpersonal, communication and customer service skills
  • Be proactive, punctual and reliable
  • Strong organisational and time management skills
  • Intermediate MS office skills
