This Portfolio Scheduling Specialist role is a brand new role supporting a new state government customer account with Kinetic IT– and it’s your chance to shape the way we plan, deliver, and grow from the ground up.
Based in East Perth, as a Permanent ongoing role, you’ll be at the centre of a dynamic portfolio, driving smart resource planning and helping set the pace for successful project delivery. Responsibilities will include:
- Design, implement, and maintain resource management strategies that deliver accurate forecasting, effective scheduling, and strong utilisation across the project portfolio, truly owning the role of resource champion.
- Take ownership of continuously improving resource planning tools that provide real-time insights into capacity, availability, and project allocations to make tools work for the wider account needs.
- Build and maintain dashboards that provide clear insights into workforce capacity, portfolio health, and project performance for all stakeholders, turning data into decisions.
- Collaborate closely with Project Managers and people leaders to turn pipeline forecasts into real-world plans, spot risks early, take fast action, and escalate issues to keep projects running smoothly - connecting the dots and keeping things on track.
- Lead onboarding and training of new Project Managers and team members, equipping them with the right tools and processes to hit the ground running and set up for success.
- Ensure projects meet agreed standards through quality checks and run governance processes seamlessly by preparing reports, meeting packs, and action logs to raise the bar on quality and governance.

- A strong background in project scheduling, resource planning, or portfolio coordination—especially in tech or large-scale programs.
- A love for turning data into clear, actionable insights (and dashboards that make decision-making easy).
- Confidence working with stakeholders at all levels—you’re great at building relationships and influencing outcomes.
- A sharp eye for detail and a proactive mindset—you see problems coming and solve them before they land.
- A passion for continuous improvement—you’re always looking for a better, faster, smarter way to work.
