Executive Coordinator

| As an executive coordinator, you will help manage the president’s calendar and its daily completion. You will greet guests and prepare refreshments, printed agendas, notepads and pens, flowers, and AV needs for meetings. Likewise, you will research and prepare gifts for university guests. Among other duties, you will run errands, manage office supply inventories, and order and deliver the president’s lunch daily. Responsibilities include maintenance scheduling for office copiers and printers, coordination with outside florists to maintain Lai Wa Hall florals or plants, and the preparation of briefing materials and talking points for meetings, events, and interviews. You will also drive the president to class observations, appointments, and events. Additionally, you will prepare Zoom meetings and take photographs and notes for the president's social media accounts when the social media coordinator is not available. |

| As a support crew member, you will load, unload, and transport furniture, office equipment, boxed supplies, and machinery, ensuring the safe handling of materials through protective padding, security measures, and load balancing. You will lift, move, unpack, and assemble furniture and fixtures, and ensure their precise placement as directed by the design group. Among other duties, you will read work orders and layouts, set up and break down events as outlined in diagrams, and complete assigned work orders neatly. You will also document issues in the work order system for resolution. |

| As an art preparator, you will collaborate with curators and other staff to oversee and execute exhibitions, including developing exhibition designs and layouts. You will manage the transportation, handling, and storage of artwork, as well as the safe setup of fashion exhibits, paintings, sculptures, and more. You will help build necessary display props, structures, frames, plinths, and platforms for exhibitions. Additionally, you will operate electronic lifts, scaffolding, ladders, and tools to install works, ensuring that complex, delicate setups are completed accurately and carefully. You will also make sure lighting and environmental conditions are suitable for displays. Responsibilities include compliance with safety regulations and best art handling practices, as well as the implementation of security measures to protect artwork and gallery spaces. |
