The Office of the Provost provides academic leadership for Drake University. Reporting to the President, the Provost oversees all academic programs, including six colleges and schools, as well as faculty hiring, development, promotion, and tenure; enrollment management and admissions; student life; equity and inclusion; the libraries; student success and retention; accreditation, institutional research, and assessment; research, grants, and contracts; online education; and international and global education.

Job Summary:
The Academic Support Specialist position in the Office of the Provost plays a key role in the administration of this office! The individual in this position manages the Provost's calendar, handles communications using a variety of medians, and schedules events and meetings. Other responsibilities include updating websites, coordinating projects with academic units, purchasing supplies, making travel arrangements, recording meeting minutes, and assisting with faculty hire paperwork and files.

Minimum Qualifications:
Bachelors degree and/or 2 years of relevant experience.

Preferred Qualifications:
Experience working in higher education. Experience with Microsoft Outlook, Word, Excel and Adobe Acrobat. Experience in administrative support role. Experience planning events.

Job Duties:
- 30% - Provide support to the Provost and the Provost's staff. This includes managing the Provost's calendar; receiving, screening, and routing communication via telephone, mail, email, and office requests; processing and sending correspondence, formatting letters and documents; and developing and communicating itineraries of appointments and visits. Assist in planning and coordinating various events such as luncheons, receptions, symposiums, and other functions. - (Essential)
- 20% - Liaison with academic units and other offices on projects assigned or initiated, to include research projects, and regularly creating, updating, documenting, and implementing new processes. - (Essential)
- 15% - In coordination with the Academic Budget Manager, handle various duties related to the Provost office. Duties include reconciling/approving purchasing-card(s) accounts, troubleshooting problems, and completing necessary reimbursements for the Provost, Provost staff, and guests. Duties also include assisting with hiring through the Provost office: to include posting, travel arrangements, reimbursements for search committees and guests, and handling of appointment letters for new hires and reappointments. - (Essential)
- 10% - Create, disseminate, and maintain written records. Assist in planning, coordinating, and disseminating information while serving as the recording secretary as required for meetings. Create and post announcements in OnCampus and the University Calendar. - (Essential)
- 10% - Manage and maintain webpages and other online platforms for the Provost office. Coordinate with the other offices within the Provost office to ensure continuity of information and web pages. Work closely with the Office of Finance and Administration to keep the University Policy Library updated. - (Essential)
- 5% - Provide general administrative backup support for staff within the Provost's Office. - (Essential)
- 5% - Perform general clerical duties including but not limited to maintaining files, photocopying, faxing, mailing and other forms of communication. - (Essential)
