Job Summary:
Drake University Law School seeks a detail oriented, highly organized, and motivated full-time Administrative Assistant to support the Career Development Office (CDO). This role is ideal for an independent professional who can manage multiple priorities while contributing to a collaborative and service-focused office. The Administrative Assistant plays a key role in maintaining a professional, welcoming, and inclusive office, supporting employer engagement, student hiring processes, and ensuring the efficient day-to-day operation of the CDO.

Minimum Qualifications:
• Strong and effective verbal and written skills to communicate with employers, students, faculty, and other staff with a high level of professionalism.
• Ability to use independent judgment and discretion in carrying out job duties and taking on projects with minimal direction.
• Exercise critical thinking skills and ability to multi-task with attention to detail.
• Ability to work independently and collaboratively in a fast-paced environment.
• Understand professional ethics and confidentiality.
• Highly proficient in office software including MS Office programs and apps including Teams, Word, Excel, PowerPoint, etc.
• Ability to use various forms of technology and communication such as Asana, Canva, Zoom or similar web-based programs, PDFs, and being able and willing to learn new technology systems.
• A.A. degree.

Preferred Qualifications:
• Education: B.A. preferred, or an equivalent combination of education and experience.
• Experience: Minimum of 1-3 years of administrative or clerical experience, ideally in a higher education or student affairs setting.

Job Duties:
- 20% - Department Operations & Reception • Serve as the front-facing point of contact for the office. • Greet visitors, answer office phones, and monitor the departmental email account. • Support three full-time staff members in the CDO.
- 20% - Employer & Recruitment Support • Assist employers with job postings, interview scheduling, and recruiting logistics. • Support coordination of employer engagement activities.
- 15% - Technology & Data Management • Manage career services management (CSM) platform (Symplicity). • Handle employer and student communications, events, and hiring sessions. • Maintain accurate employer records and track student outcomes data within the CSM.
- 15% - Event Coordination • Manage the CDO programming calendar. • Assist in planning and execution of workshops, large-scale events such as career fairs, networking nights, and professional development workshops. • Help plan, market, and finalize event details and follow up.
- 15% - Communications & Social Media • Assist in creating and managing professional social media content. • Create marketing flyers and social media posts in Canva. • Promote events and share employment opportunities relevant to students and alumni. • Update and maintain the Career Development website
- 10% - Project Management • Coordinate the Reciprocity program with participating law schools. • Provide administrative support for student stipend programs and other special initiatives.
- 5% - Financial & Office Administration • Process departmental purchases and travel reimbursements. • Maintain office supplies and subscriptions. • Support general administrative functions including inventory management and coordination of the professional clothing closet.
