Job Summary

The Admissions Counselor II for Workforce Solutions is responsible for recruiting prospective students and promoting open enrollment classes offered through Workforce Solutions. This role actively engages with the community, prospective students, and industry partners to drive enrollment and awareness of non-credit, credit, and continuing education programs. Additionally, the position provides comprehensive administrative support to the Vice President of Workforce Solutions, program coordinators, and instructors, ensuring smooth operations and exceptional service delivery.

Job Duties:

The Workforce Development Admissions Counselor II's essential duties and responsibilities include:

Recruitment & Outreach

Actively participate in internal and external recruitment events at high schools, Area Technology Centers (ATCs), community centers, and opportunity/job fairs.

Coordinate and conduct on-site recruiting activities, including facility tours, open houses, and student-life events at Valley Oak.

Student Support & Communication

Serve as a primary point of contact for prospective and current students by answering phone calls, emails, texts, and in-person inquiries.

Provide guidance on available programs, class registration, admissions requirements, and general financial aid or funding options.

Marketing & Promotion

Develop, update, and distribute marketing materials for Workforce Solutions programs.

Send targeted email promotions to company contacts for business and industry-related courses.

Create quarterly mailers and newsletters promoting upcoming courses and success stories.

Update distribution lists quarterly

Data Management & Reporting

Conduct a semi-monthly audit of the DART (Data Analysis and Research Tool) report and present findings during departmental meetings.

Maintain the master class spreadsheet and ensure accuracy in course records.

Administrative & Operational Support

Provide administrative assistance to the Vice President of Workforce Solutions, program coordinators, and instructors.

Perform general office duties, including mail distribution, inventory management, purchasing supplies, and maintaining promotional materials.

Systems & Enrollment Management

Set up classes in PeopleSoft and Campus CE; manage the creation and closure of class folders.

Enroll students in PeopleSoft and provide payment instructions.

Manage third-party non-credit online course offerings and ensure smooth registration and access.

Digital Presence & Content Maintenance

Regularly update the Workforce Solutions web pages to reflect current class offerings and ensure the registration links are accurate and active.

Post new classes weekly and monitor web content for accuracy and relevance.

Records & Compliance

Oversee the annual rotation and organization of physical records related to classes and student files. Maintain accurate equipment and IT inventory records.

Other Duties as Assigned

Support departmental projects and initiatives as needed to fulfill the mission and goals of Workforce Solutions.



Minimum Qualifications:

Associate’s degree from a regionally accredited college or university (technical, business, project management, or related field) and four years relevant experience or equivalent. Education and/or experience may be substituted on a year-for-year basis.

Preferred Qualifications:

Bachelor's degree from a regionally accredited college or university (technical, business, project management, or related field) and two years of relevant experience.  

Additional Skills Requested:

Strong computer skills; strong working knowledge of Microsoft Office Suite and Word, strong interpersonal skills (including phone, email, face-to-face, text); ability to handle a heavy workload; ability to work well under pressure and meet deadlines; strong initiative; organizational skills and strong attention to detail.
