About the Agency:

The Virginia Department of Military Affairs is a Commonwealth of Virginia state agency that provides professional and responsive support functions to the Adjutant General of Virginia, the Virginia National Guard, the Virginia Air Guard, and the Virginia Defense Force in order to ensure their ability to support and defend the United States and the Commonwealth of Virginia.

The mission of the Virginia National Guard Commonwealth ChalleNGe Youth Academy is to intervene in the lives of 16-18 year old teenagers by providing the values, skills, education, and self-discipline needed to produce responsible, productive citizens, and to do so in a highly structured learning environment.

Purpose of Position:

To provide administrative support to the CCYA Director. Reviews, reconciles, and submits accurate overtime leave submissions for staff. Works with HR to provide in-processing and out-processing paperwork in a timely manner. Reviews and approves leave for staff. Prepares interview packets, conducts fingerprinting for potential new hires, and submits completed interview packet to HR. Drafts correspondence such as newsletters, event calendars, staff communication, etc. Performs other duties as assigned.

Minimum Qualifications

Demonstrated knowledge of office procedures and practices;

Must be proficient in Microsoft Office products (Word, Excel, Outlook, PowerPoint,etc.);

Demonstrated ability to manage office activities and administrative work;

Excellent written and verbal communication skills required;

Demonstrated ability to meet deadlines and ability to multi-task;

Ability to operate basic office equipment such as computers, copiers, calculators, printers;

Outstanding customer service skills;

Demonstrated ability to maintain confidentiality;

Must have a valid Driver's License;

Prior experience as an administrative assistant or office manager required;

Must have experience with data entry and reconciliation.

Additional Considerations

Experience as a timekeeper preferred;

Prior experience working in Human Resources preferred.
