Job Duties

Consider joining the Virginia Department of Health as we foster healthy and resilient communities. This is your opportunity to serve the public in the Business department in the position of Program Support Tech (Vital Records) at the Roanoke City/Alleghany Health District.

Independently performs technical office tasks in support of a single program area regularly requiring application of policy and procedures. Characteristic activities: Serves as contact and information resource for one or more programs; serves as lead worker to direct, advise and train others; designs and directs workflow processes; researches and processes claims; collects data and prepares reports on program activities. May provide performance input regarding staff to appropriate supervisor.

1. Program Support
•Responsible for tracking, coordinating and confirming referrals
•Triages incoming inquiries to the appropriate staff member
•Reviews correspondence for accuracy prior to distribution
•Provides administrative support to program area to include, but not limited to answering incoming calls, directing patients or customers, directing inquiries and providing guidance on program processes and procedures.
•May perform routine eligibility determinations for clinical services.
2. Data Entry & Records Maintenance
•Maintains and archives records in accordance with records maintenance policies and procedures
•Collects and inputs data into established/automated databases and reviews for discrepancies
•Generates ad-hoc reports as needed
3. Training & Technical Guidance
•Assists with training and provides guidance to other program support staff on processes, procedures, workflows, etc.
•Serves as a first point of contact for customers; provides general guidance to customers regarding forms, processes, etc.; directs inquiries to appropriate program staff members
4. Other Duties
• May be required to perform other duties; may include functions in support of emergency declaration

The Virginia Department of Health (VDH) is dedicated to protecting and promoting the health of Virginians. The VDH is made up of a statewide Central Office in Richmond and 35 local health districts.

Who We Are: The Roanoke City and Alleghany Health Districts (RCAHD) are two health districts in the Commonwealth of Virginia under the Virginia Department of Health and employ approximately 140 staff. RCAHD encompasses the cities of Covington, Roanoke, and Salem and the counties of Alleghany, Botetourt, Craig, and Roanoke.

What We Do: RCAHD, which provides services from nine office locations, serves a combined population of over 278,400 people throughout both rural and urban environments and works to promote and encourage healthy behavior, protect the public against environmental hazards, prevent epidemics and the spread of disease, respond to disasters, assist communities in recovery and assure the quality and accessibility of health services for all members of the communities.

VDH requires all Health-Care Personnel (HCP) to provide documentation of immunization or evidence of immunity to the following: hepatitis B, measles, mumps, rubella, and varicella; a one-time dose of tetanus, diphtheria, and pertussis (Tdap) vaccine regardless of the interval since the last dose of tetanus-diphtheria (Td) vaccine was administered (Td or Tdap boosters shall be received every 10 years); and the current year's seasonal influenza vaccination.

Minimum Qualifications

•Knowledge of office procedures, computer and software technology, use of policies & procedures and customer service
•Strong interpersonal and communication skills, orally and written
•Strong organizational skills and experience with software applications and Microsoft Office products (i.e. WORD, EXCEL, and database entry) and general office equipment (copier, fax, calculator)
•Ability and experience with setting up and maintaining files & manuals
•Ability to maintain confidentiality
•Ability to follow and apply established procedures and applicable policies
