The Division of Purchasing & Supply's Virginia Distribution Center (VDC) is seeking a customer service to serve as a Customer Care Representative. VDC provides state agencies and locality customers with quality products, quality service, and timely delivery of items at lowest possible costs. As part of VDC, the Customer Care Representative would provide office services support for VDC customers, including order entry and processing, document preparation/mailing, receiving, receptionist duties, and assisting with routing/load planning.

Job duties include, but are not limited to: 

  • Serve as VDC Receptionist.
  • Create and update shipping and billing accounts in the ERP system.
  • Process customer orders and exception requests in the ERP system.
  • Provide assigned customers with out-of-stock and substitution information and make adjustments.
  • Assist with route planning for VDC deliveries.
  • Review Sales Hold Report, Generic Error Report, and Comments Report daily to address/correct any errors and release orders to be added to the route plan.
  • Receive inbound orders and review associated documents for accuracy.
  • Create VA DOC Monthly Allocation Spreadsheet for review by VDC Management.

This position will be located in Sandston, Virginia and must report on-site. This position is not eligible for a hybrid telework schedule.

Minimum Qualifications 

  • Customer service experience.
  • Experience with dispatch or logistics for warehouses, distribution centers, or other facilities.
  • Experience with ERP systems.
  • Experience with e-procurement or order processing software.
  • Familiarity with administrative/office work, such as filing, answering phones, and data entry.
  • Basic personal computer, software, data entry skills, including 10-key data entry and spreadsheets.
  • Ability to work independently and collaboratively with all levels of staff, involving the Assistant Manager and Manager when appropriate.
  • Ability to communicate effectively, verbally and in writing.
  • Ability to apply oral and written policies, procedures, and instructions.

Additional Considerations 

  • Experience with load planning or routing for a commercial warehouse, distribution center, commercial warehouse, or governmental facility.
  • Experience creating and reviewing reports from a variety of software/systems.
  • Experience with eVA procurement system.
  • Experience with Warehouse Management Systems.
  • Experience with multi-line phone systems and associated telephone techniques and protocols.
