Job Duties
The Court Deputy Clerk (Grade 8) is responsible for automated and manual operational high volume and fast- pace activities for one or more court divisions.
Essential Duties & Responsibilities – The successful candidate will perform data entry utilizing the Courts Case Management System. Prepare dockets, extensive filing and sorting. Prepare correspondence from courts to attorneys, defendants, issues subpoenas, summonses, garnishments, warrants, show causes. Issues other documents as set forth by state code. Responds to routine public inquiries for information in person and via telephone. Assumes additional responsibilities other than those primarily assigned to the position as required by management.
Operational Responsibilities
1. Reviews or prepares docket for accuracy and accountability for all cases and to ensure compliance with court policies and procedures
2. Issues summons, subpoenas, warrants, capias, orders and other court papers as necessary
3. Types or reviews all documents needed for or as a result of court hearing
4. Researches and provides verbal or written information requested by the public, attorneys, other government organizations, etc.
5. Forwards required documents to circuit court as directed
6. Forwards or ensures that court documents are forwarded to other public agencies as required
7. Must be able to work efficiently in tandem with a team and alone within the courtroom and front counters
Minimum Qualifications
Competitive applicants must demonstrate a proficiency in Microsoft® Office Suite, a high degree of data entry skill with speed and accuracy. Applicants must have solid verbal and written communication skills. Mandatory experience with high-volume customer service in person and via phone is required. A high school degree or equivalent is required. Candidate must have the ability to work within an extremely fast environment that includes a tremendous volume of paperwork, processes, and procedures.
Front counter, telephone customer service, and courtroom experience are required.
Additional Considerations
Preferred Qualifications: In addition to the minimum qualifications, knowledge and hands-on experience in a court setting are highly desirable. Extensive front counter customer service, experience serving the public, and keen attention to detail are essential.
Experience with document imaging is highly desirable. Ideal candidates will have proficiency with computers. Responsibilities include GCMS, Financial Management (FMS), Outlook, VCIN, NCIC, DMV, and IPOAD (as applicable). Office environment experience and basic math acuity is desired.
