About the Agency
The mission of the Virginia Department of Programs is to be committed to providing the highest level of professional development and statewide risk reduction efforts.
As a Virginia Emergency Support Team (VEST) agency, we provide both operational and technical assistances to communities in need during emergencies of all types. This includes both operational support in the Virginia Emergency Operations Center
(VEOC) and in-the field deployments.
About the Position
The Virginia Department of Fire Programs (VDFP) Training and Operations Branch provides training to Virginia’s public safety community. This position provides administrative office support to their assigned division.
The incumbent of this position will be responsible for but not limited to performing duties such as providing administrative support to coordinate processing of learning/testing sessions in the learning management System, responding to customer inquiries and providing positive professional customer service, and performing other administrative functions as needed to support the learning management system. The incumbent of this position will also be responsible for organizing and making staff travel accommodations, reviewing travel claims/vouchers for accuracy, and utilizing a small purchase card to procure goods and services as needed.
Minimum Qualifications
• Considerable knowledge of and experience performing a variety of administrative functions to support, coordinate, and manage business operations in an office environment.
• Experience utilizing a Learning Management System (LMS) to support learning/testing session entries, processing, and closing.
• Experience demonstrating the ability to evaluate/interpret government policies, regulations and guidance, from multiple sources and ability to apply and align program strategy with new information.
• Experience making staff travel arrangements, and processing and reviewing travel claims/vouchers.
• Experience using a purchase card to procure goods and services in in a business environment.
• Experience demonstrating the ability to exercise judgement with limited supervision to solve problems independently.
• Experience demonstrating the ability to organize, plan, and prioritize multiple competing tasks/projects in a deadline driven environment.
• Considerable experience demonstrating customer service skills to include greeting diverse internal and external customers and providing program information, instructions, or details.
• Considerable experience demonstrating the ability to develop and prepare written correspondence.
• Experience demonstrating the ability to communicate orally with the ability to interact with all levels of staff, the public, and public officials.
• Considerable skills in the use of computers – Microsoft Office and associated software.
Additional Considerations
• Experience supporting session entry, processing and closing in Cornerstone OnDemand Learning Management System. (LMS).
• Experience demonstrating the ability to build rapport, consensus and collaboration among diverse public safety professionals and various stakeholders.
