Job Duties

The Staffing Coordinator is responsible for ensuring adequate and consistent nursing coverage across all units by maintaining the master nursing schedule and completing monthly and daily staffing assignments in accordance with established standards. This position monitors call-ins, arranges replacement staffing, and coordinates with Unit Coordinators (UCs) and Shift Supervisors to meet staffing needs, utilizing voluntary or mandatory overtime only as necessary. The coordinator maintains confidentiality of all staff information, carries the staffing cell phone to respond to and coordinate staffing needs in real time, and ensures schedules are accurate, timely, and reviewed prior to posting. Additional responsibilities include collecting census sheets, verifying patient trip coverage, maintaining updated staff contact information, and assisting during critical staffing shortages. The Staffing Coordinator demonstrates strong communication, problem-solving, and decision-making skills, maintains cooperative working relationships, and exercises sound judgment while adhering to hospital scheduling policies and safety standards. Participation in meetings, training, and ongoing performance development is required to ensure effective support of nursing operations.

Minimum Qualifications

Experience in scheduling, staffing coordination, or administrative support within a healthcare setting preferred.
Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
Proficient in Microsoft Office applications (Word, Excel, Outlook) and able to learn hospital scheduling software and databases.
Excellent communication and interpersonal skills; able to work collaboratively with nursing leadership and staff at all levels.
Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
Ability to exercise sound judgment, follow policies and procedures, and make staffing decisions under pressure.
Availability to work varied hours, including weekends and holidays, as staffing needs require.
