Job Duties

Commitment and Hearing Processes. In accordance with the Statutes of Virginia and established regulations: Prepares petitions and communicates hearing schedules to appropriate staff, special justices and outside parties. Monitors expiration of court orders for treatment and appropriately coordinates scheduling of Commitment hearings within set timeframes. Communicates with CSB’s to obtain prescreen hearing information. Documents hearing outcomes on appropriate source documents and enters information into required databases within established policy and timeframes.

Census collection, reconciliations and distribution. According to established policy and timeframes manages census process, collects, and computes and enters patient data into departmental automated databases and spreadsheets; generates and distributes routine reports from databases and spreadsheets; daily census and other reports as necessary. Accurately and timely, enters data into Avatar and HOPS or verifies accuracy of data entered into Avatar and HOPS, copies and routes reports to appropriate departments, corrects and updates databases as necessary.
Weekly runs cumulative report for Adult and Geriatric patients. Reports information to Reimbursement. Process by serving as primary local data coordinator (collects, verifies patient data; generates and distributes reports; enters data to patient databases; supports Unit Secretaries with maintenance of Avatar).

Scan document audits. Review scanned documents for accuracy, clarity, appropriate naming and folder selection. Monitors for potential HIPAA, and filling issues. Reports issues to the HIM director, corporate compliance and the unit secretary.

Manages departmental policies and procedures. Types in appropriate formats, coordinates with appropriate department employees and maintains a review schedule of policies, posts policies and procedures to the Intranet and to appropriate network drives.

Committee Preparation. Transcribes and distributes HIM minutes for monthly meeting. Attends meetings and leads for Health Information Management Department in absence of Director. Updates the intranet with chart filing orders and Approved Abbreviations List’ upon approval by HIM Committee.

Signature Key and Confidentiality Logs. Manages the entry of staff signatures on a timely fashion.

Covers duties of other absent HIM employees and assist in absence of HIM Director. Addresses and documents performance issues as they occur when HIM Director is absent and relays then upon return. Serves as a tertiary Admissions clerk, assists with ROI issues and concerns, assists with core measure and deficiency audits as needed.

Minimum Qualifications

Knowledge, Skills, Abilities (KSA) and or Competencies required to successfully perform the work (attach Competency Model, if applicable): Proficient in use of database management and applications, proficient at statistical computations, ability to interpret and apply principles of laws, regulations, accreditation/certification standards and policies, ability to communicate effectively, strong skills in use of personal computer and other automated office equipment. Demonstrates understanding of population specific requirements of patient interaction.

Additional Considerations

Management experience to include supervision of employees preferred. College experience and training from an accredited college/university in health information or healthcare environment preferred. Preferred credentials as RHIT by American Health Information Association.
