Job Duties
This position is responsible for ensuring sound fiscal management and accountability through effective auditing, surplus management, and disposal of university assets. Key responsibilities include:
Overseeing surplus, disposal, and auditing of university assets in compliance with the CAAP Manual and VSU policy.
Maintaining accurate records of all surpluses equipment and ensuring timely removal from the requesting department within 10 working days.
Updating Banner within 5 working days of surplus processing.
Ensuring asset disposal is conducted in accordance with CAAP Manual and VSU policy, with all surplus property sold or disposed of within one year of receipt.
Keeping detailed records of all disposals.
Conducting audits to ensure compliance and maintaining accurate asset records, including correct location updates in Banner and WASP.
This role plays a critical part in maintaining financial integrity and operational efficiency in asset management.
Minimum Qualifications
Knowledge, Skills, and Abilities and/or Competencies required to successfully perform the work:
An equivalent combination of training, education, and work experience are required to successfully perform the duties.
Knowledge of fixed asset accounting principles, lifecycle management: acquisition, tagging, inventory, transfer, surplus, and disposal, and depreciation. 
Knowledge of records management techniques and information systems.
Familiarity with the Commonwealth Accounting Policies and Procedures (CAPP Manual).
Proficiency in asset management and ERP systems such as Banner, Cardinal, WASP or FAACS. 
Ability to conduct detailed reconciliations and maintain audit-ready documentation.
Strong attention to detail, organizational, and time management skills. 
Must have the ability to lift boxes weighing up to 20 pounds
Effective verbal and written communication skills.
Must be proficient using FAACS and Microsoft Office Suite, e.g., Word, Excel, and PowerPoint.
Must have demonstrated experience to provide consultation services.
Ability to work independently and cooperatively across departments.
Must have the ability to manage and prioritize multiple assignments.
Ability to develop retention and disposition schedules.
Additional Considerations
Associate or bachelor’s degree in accounting, Business, or a related field preferred. An equivalent combination of training and
experience may substitute for a degree.
Experience in a higher education or government environment is a plus
