Join Our Team as an Executive Operations Liaison

The Department of Labor and Industry is seeking a strategic, detail-oriented, experienced professional to serve as the Executive Operations Liaison within the Business Services Directorate. This pivotal role supports key divisions, including the Office of the Commissioner, Talent Management and Communications, Information Technology, Virginia Occupational Safety and Health (VOSH), and Financial Operations and Policy, by driving operational excellence and cross-functional collaboration.

Reporting directly to the Managing Director of Talent Management and Communications, the Executive Operations Liaison will provide high-level administrative, operational, and project management support to the Executive Leadership Team (ELT) and the four program directors within the directorate. Acting as the central point of coordination between executive leadership and program directors, this individual will ensure streamlined communication, alignment of priorities, and effective oversight of strategic initiatives across business units.

Compensation:

This position offers a competitive salary up to $65,000 annually, commensurate with experience, plus full State benefits. Please note, the agency will not entertain salary negotiations beyond the maximum advertised salary.

This position will be responsible for:

• Managing executive-level correspondence, research requests, and briefing materials.
• Serves as the chief administrative coordinator for the Office of the Commissioner, VOSH, and the Business Services teams to ensure aligned operational practices and communication across the agency.
• Coordinates cross-functional initiatives and serves as the project manager for division-wide efforts.
• Analyzes and summarizes program data for internal reporting and presentations.
• Develops and maintains internal administrative processes, such as workflows, document management, and project management tracking tools.
• Coordinates executive calendars, prepares meeting agendas, travel, and facilitates communication with internal and external stakeholders.
• Supports financial tracking, reporting, and reconciliation of purchases, travel, and budgetary expenditures.
• Acts as a liaison with the Commissioner’s Office and Cabinet-level contacts on behalf of the Office of the Commissioner.
• Ensures compliance with relevant state and federal policies, records management standards, and confidentiality protocols.
• Plans, implements, and coordinates special projects and staff resources.
• Applies knowledge of office/business practices and procedures.
• Interprets policies and procedures.
• Serves as the division’s administrative expert.
• Provides support to the agency’s main phone line while providing exceptional customer service to internal and external customers.
• Provides support to the agency’s mailroom personnel for internal and external agency mail.

Minimum Qualifications:

• Demonstrated experience providing high-level executive support and administrative oversight within a complex organizational or agency structure while providing exceptional customer service.
• Strong working knowledge of office management procedures, including project tracking, recordkeeping, and workflow optimization.
• Excellent written and verbal communication skills, including professional correspondence and report writing.
• Proficiency in Microsoft Office Suite and web-based project management platforms.
• Ability to analyze data and provide meaningful interpretation for decision-making and reporting.
• Proven ability to handle confidential information with integrity and discretion.
• Experience coordinating projects and communications across multiple divisions or departments.
• Working knowledge of web-based software applications.
• Experience in performing research, analysis, and data collection.

Additional Considerations:

• Certification in public administration, business management, or a related field.
• Proven ability to provide strategic administrative and operational support across executive functions, including HR, IT, Finance, and the broader Executive Leadership Team.
• Prior experience in state or federal sector operations.
• Knowledge of state procurement, human resources, or financial processes.
• Familiarity with occupational safety and health regulations is a plus.
• Significant experience writing detailed professional and comprehensive reports.

Special Requirements:

• Possession of a valid driver’s license at the time of hiring or within 30 days of hiring. Position is subject to annual driver’s license record check.
• Ability to travel overnight occasionally.
• Ability to perform moderate physical activity that includes, but is not limited to climbing stairs and ladders, bending, walking up and down inclines, occasionally lifting and carrying loads up to 30 pounds, etc.
• The selected candidate must pass a criminal background investigation, and successfully serve a 12-month probationary period effective from the date of employment if beginning employment as an original hire or re-employment.
